Position Summary:
This position assists the Club Manager with clerical duties to ensure department efficiency.
Primary Duties and Responsibilities: includes but not limited to:
- Places office supply orders and verifies delivery, while setting up and maintaining procedures for invoices, purchase orders, checks and expense reports
- Sorts and distributes office mail
- Prepares packages for shipping and handles all incoming deliveries
- Handles incoming phone calls
- Maintains department personnel files
- Assists in departmental payroll, time sheets, variances and point system
- Schedules meetings and makes hotel reservations
- Assists in Member billing and communications
- Prepares correspondence, documents, records, etc.
- Assists in daily administrative duties for golf reservations, golf retail, food and beverage, tournament set up, member relations, as well as clubhouse operations
Secondary Duties and Responsibilities:
- Attends all Social Governing Board Meetings and takes minutes
- Adheres to the Health Insurance Portability and Accountability Act of 1996 (HIPAA)
Minimum Education and Qualifications:
- High School Diploma or equivalent
- Three years of general office experience
- Intermediate word processing skills
- Must be able to type 40 wpm
- Must possess working knowledge of GOLF OPERATIONS, policies and procedures, including tournaments and leagues
Competencies: Incumbent will master the following competencies while in this position:
- Capable of preparing business letters
- Ability to multi-task
Training Requirements:
- Must be able to navigate through Stratton Warren
- Knowledge of LMS Billing System
- Knowledge of Word and Excel
- Knowledge of EZ-Links golf reservation system
- Knowledge of Kronos and Virtual Roster
Physical Demands and Work Environment:
- Office work environment
- Must be able to sit in front of a computer for extended periods of time
- Must be able to work various shifts and flexible hours
