Job Description
SUMMARY OF POSITION:
The Office Clerk will be responsible for scaling trucks, managing inventory, customer service via phones calls and emails, high-speed loadout backup, and collecting rail car information from the field. The Office Clerk’s responsibilities include but are not limited to:
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Processes trucks in/out over platform scales face to face and via intercom.
- Directs traffic to the correct product location.
- Informs yard operators of truck movements.
- Enters and reviews orders via inventory management system.
- Monitors inventory via inventory management system.
- Forwards invoices from vendors to appropriate accounts payable personnel.
- Provides thorough and accurate response to email and caller inquiries.
- Assists customers with receiving and delivery information when required.
- Punctually performs all assigned duties.
- Proactively handles tasks.
- Maintains an organized workplace and schedule to ensure quality performance.
- Serves as backup to high-speed loadout personnel.
- Collects rail car information to build orders accurately.
- Understand customer’s business, requirements, and expectations to make value-added recommendations.
- Other duties as assigned.
QULIFICATIONS - REQUIREMENTS:
- Working knowledge of Microsoft Office Suite; especially Excel.
- Excellent communication skills. Oral and written.
- Must be able to read, write, and perform basic math.
- Resourceful, well organized, and dependable.
- High School or Equivalent.
- Ability to manage multiple tasks, to set priorities, and to meet deadlines.
- Strong organization and analytical skills.
PREFERED EXPERIENCE:
- Experience in shipping: Truck scales (Metler Toledo, Rice Lake), Inventory Management Systems (Kahler, SAP, Galahad), Printers (Brother, Xerox).
- Experience processing orders from customer release, through fulfillment, to billing.
- Experience with PPE and safety sensitive industry environments – trucking, rail, marine.
PHYSICAL DEMANDS/WORK ENVIRONMENT:
While performing the duties of this position, the employee is required to stand, walk, and reach with hands and arms. Employee is required to enter operational area to safely collect railcar information or move amongst high-speed loadouts and office. While performing the duties of this position, the employee is usually subject to a quiet, clean, office environment. Some duties require brief amounts of time outdoors in the elements. The noise level in the work environment is usually low to moderate.
