TITLE: Operations Analyst


It is our goal to provide the finest Orthopaedic care possible. This philosophy requires that all office staff and providers be sensitive and responsive to patients’ needs and preferences. To ensure that we hire and retain the quality of staff needed for implementing our philosophy of service, we have adopted the following job description for this position.


The position requires that the employee be available approximately forty hours per week and be flexible in his/her schedule to provide efficient service for the group and work additional hours as needed. The employee however, will be expected to work no more than five days per week.


The responsibilities of this position require that employee has a working knowledge of computers and the ability to learn the proper use of the programs utilized in this office, or those that which may be necessary to meet the needs of the practice.

The hours, pay scale, and benefits will be defined as shall be agreed to.


BASIC FUNCTION:

Under the direct supervision of the Chief Financial Officer, the Operations Analyst shall perform analytical and reporting functions necessary for the successful operation of Arrowhead Orthopaedics.


RESPONSIBILITIES:

Work is primarily performed in the Administration office located in Redlands, California. The duties of the Operations Analyst are numerous, and the quality of duties performed is needed to be at a high level. The employee must be able to multi-task and prioritize many different projects and duties at once. There will also be contact on a daily basis with confidential files pertaining to patients’ care and accounting documents. The Operations Analyst must be able to handle this information with the highest degree of privacy, discretion, and professionalism. The Operations Analyst is responsible for accomplishing the duties set forth below; this however is not an exhaustive list of the position responsibilities:


General Administrative Activities:

  1. Assists CFO and CEO with statistical, benchmarking, and accounts receivable reports.
  2. Completes daily figures reports, monthly board reports, Physical Therapy Department performance reports, fee for service (HMO) reports, and other reports as needed.
  3. Collaborates with the Chief Business Officer and other staff to complete all benchmarking data requirements for an annual benchmarking survey.
  4. Calculates collections ratio and tracks progress and discharge reports for Physical Therapy Departments.
  5. Assists with the development and implementation of the annual capital and administrative budgets as well as financial and credit policies of the practice.
  6. Directs, forecasts, and analyzes the impact of special projects or new services and acquisitions.
  7. Assists the CEO and other management staff in the preparation of major financial reports. Reviews and recommends new operating procedures.
  8. Reconciles co-pay collections to receipts.
  9. Researches claims, contract negotiations, and billing requirements to ensure proper reimbursements.
  10. Performs other functions and assists in other areas as called upon by the CFO.

RELATIONSHIPS:

The Operations Analyst should observe and conduct the following relationships:

  1. The employee shall be responsible directly to the CFO. The employee shall report to the CFO and his/her assignees any progress, reports, requests, concerns, problems, and/or expectations in relation to the responsibilities of the position. Such communication may be verbal or written as deemed necessary by the employee or as directed by the CFO or his/her assignee.
  2. The employee shall interface with members of the management team---Chief Clinical Officer, Chief Business Officer, HR Manager, Network Administrator, and others. Such communication, whether verbal or written must be professional, factual, confidential, and outcomes oriented and aimed at assisting these individuals to perform at a higher level of efficiency and effectiveness.
  3. The employee shall interact with other office and clinical staff in the Practice. Such interactions should be collegial, professional, and contributing to the safety and pleasantness of the work environment at Arrowhead Orthopaedics.
  4. The employee shall interact with Physicians, licensed physical therapists, licensed occupational therapists, students conducting internships, physical therapy aids, other physical therapy employees, the group’s own billing department, patients, and other medical groups and insurance companies. Such communication should always reflect management’s total commitment to quality care and patients’ satisfaction.
Requirements:

Skill Requirements:

  1. Skill in operating a computer as well as software programs, preferably Word, Excel, Outlook, and financial systems programs and applications.
  2. Proper phone etiquette and professional communication skills are required.
  3. Customer facing experience needed.
  4. Knowledge of management practices required.
  5. Knowledge of finance and accounting functions, including budgeting, credit, investments, and internal controls.
  6. Skill in analyzing financial data and preparing appropriate related reports.
  7. Skill in relating organization objectives to financial policies on costs, fees, credit, and others.
  8. Skill in exercising initiative, judgment, discretion and decision-making to achieve organizational objectives.
  9. Skill in establishing and maintaining effective working relationships with staff and management.
  10. Must have the ability to work creatively with management and department staff to achieve objectives.
  11. Experience in a healthcare environment with exposure to CPT/ICD-10 codes is beneficial.
  12. Experience with AllScripts Practice Management system reporting preferred.
  13. Advanced experience with Microsoft Excel preferred.
  14. MBA or equivalent graduate degree preferred.

Typical Physical Demands:

  1. Requires sitting and walking, with daily occasional stooping, reaching, and bending.
  2. Occasional lifting up to thirty pounds.
  3. Hearing must be in the normal range for telephone and personal communication.
  4. Requires manual dexterity sufficient to operate keyboards and other office equipment.
  5. Must have the ability to communicate effectively and clearly.
