Office Clerk is responsible for the detailed work associated with all incoming and outgoing mail, interoffice and external correspondence, and the postage machine. As Receptionist, promptly and courteously answer all incoming calls for the Cooperative. Determine the nature of the call and refer them to the appropriate person/department, thereby creating goodwill between the Cooperative and the members/public.
As Office Clerk:
- Sort and distribute inter-office mail and correspondence. Make Post Office deliveries and any other special pickups or deliveries as requested.
- Receive members' payments, review checks for signatures, and date, verify that written amounts are the same, and check amount must match stub amount. If the name on the stub differs from the check, the account number must be written on the check. Deliver any payments for accounts on the cut-off list to consumer accounts Representatives. Post payment stubs and print reports. Prepare daily bank deposits, balance them, and make daily bank deposits and deliver a tape with the total bank deposit and all supporting documentation to the Billing Department. Maintain proficiency in the proper use and operation of the Remittance Payment processing machine.
- Maintain consumer files and microfilm records efficiently, ensuring the accessibility of membership applications, service orders, etc. Research records for Member Service Representatives when requested. Scan and index consumer files using the NISC Vault system.
- Cross-train with and provide relief for Customer Service Representatives when needed.
- Become familiar with and abide by FKEC Safety Rules and Traffic Laws when driving a company vehicle.
As Receptionist:
- Open the switchboard promptly each morning and answer the phone politely and quickly.
- Receive all incoming calls; determine the purpose and destination of each call and refer them to the proper department.
- Maintain a log of employees who are out of the office and the time they will return; check the master calendar and check e-mail.
- Assist the General Office Clerk by opening mail (payments) when the volume of mail is extremely heavy. Assist front office, member service, and other office personnel by sending and receiving faxes as requested. Practice proper FKEC radio procedures when using the two-way radio system.
As Office Clerk and/or Receptionist:
- Maintain desk and surrounding area in a clean and orderly manner. Maintain proper use and care of office equipment and report any equipment working improperly or in need of repair.
- Understand and personally perform all duties following applicable safety and Cooperative policy manuals, as well as reporting hazardous conditions to the Supervisor and needed office maintenance.
- Conduct oneself in such a manner as to contribute a better understanding of the Cooperative when in contact with members or the public, as well as maintain a harmonious relationship with all cooperative personnel.

Education:
- High school diploma or equivalent required.
Additional Requirements:
- Must have a valid Florida Driver's License.
- Must have skills in using a calculator, computer, printer, telephone, copy machine, microfilm viewer, electric letter opener, and postage machine.
- Must know about various Microsoft Office products, specifically Word, Excel, and Outlook.
- Must use cybersecurity best practices and use responsible conduct in online environments and while using email.
- Observe and practice all safety policies and rules.
- Extra hours may be necessary during emergencies or when the workload demands.
- Residency requirement: Worker for this position is not required to live within the FKEC service territory, but it is highly recommended.
Working Conditions:
Worker is subject to medium lifting to approximately 50 lbs., with exposure to various weather conditions while delivering interoffice mail/mail. Worker will be required to work with various office equipment, such as a calculator, telephone, postage machine, electric letter opener, computer, and printer. Worker must be able to climb stairs, stoop, bend, walk, reach, stand, lift, grasp, receive and give detailed information through oral and written communications. Worker is subject to approximately four to five hours of repetitive motions of the wrist, hands, arms, and fingers for data entry. Worker needs to have the ability to possibly remain seated for several hours of the day. Worker must be computer literate.
