Job Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. This position is PART-TIME, but could lead into a FULL-TIME status in the next six months. The Office Assistant will be responsible for providing administrative support and assisting with various office tasks. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively.
Duties:
- Welcome customers and visitors by greeting them in person, answering inquiries and directing them to the proper individual.
- Answering multi-phone lines, filing, faxing, printing, scanning documentation and completing daily tasks.
- Record customer orders/sales, and pertinent information in a database, as well as, scheduling of work orders.
- Collect customer information, create estimates, invoices and process payments in QuickBooks and Excel.
- Assist in handling customer service calls, answer their questions and find solutions to customer complaints and/or requests through the proper internal channels.
- Assist the executive staff as needed.
- Maintain a meticulous and clean work environment and professional appearance.
- Assist in keeping our office, show room, and customer restroom clean and organized.
- Assist office staff with opening/closing procedures, as needed daily.
- Perform any other duties as assigned accordingly.
- Provide status updates to families as needed.
Qualifications:
- Ability to multi-task and work efficiently both as a team member and individually in order to complete the necessary tasks timely
- Knowledge of basic computer software (i.e. Microsoft Word, Excel, and Outlook) and the ability to learn QuickBooks software and electronic records (DropBox).
- Communicates well with customers, coworkers and management in a professional and positive manner
- Prior experience in a customer service related setting strongly preferred
