Duties: Greets incoming visitors/participants with a welcoming smile and a verbal hello. Provides hospitality, staff support and communication. Answers and routes incoming telephone calls, responds to routine questions and action line requests. Refers calls and visitors to the appropriate staff member and areas of interest. Gives tours of the facility. Assists in registering participants and/or making telephone calls confirming participation in programs and changes to a program. Reviews submitted participant packets, to ensure all necessary information is included. Works with Recreation Specialist to schedule in-take meetings for new participants as well as those meeting reminders. Data entry of new participant information. Prepares, submits and maintains records of all information for the following (but not limited to): requisitions, warehouse orders, office depot orders, cash payment requisitions, memos, letters, and other City documents as needed. Handles payroll and all paperwork required from the City in regards to payroll. Maintains an accurate accounting of incoming revenue / expenditures and posts into the proper accounts document located in the shared drive. Maintains an accurate record of all deposits and makes deposits to City Hall (as needed). Handles the cash payment requests, for petty cash, as needed to maintain at least $300 in the petty cash account. Maintains receipts and an accurate accounting of petty cash. Maintains copies of marketing material and center documents for citizens. Creates weekly procurement (p-card) reports and submits to staff for signatures. Responsible for filing system and all record keeping. Responsible for completing monthly reports of participants and recreation units served. Properly maintains front office cleanliness, copy room cleanliness, copy machine and copy machine equipment/maintenance. Notifies customers of updates via email, MailChimp, Telephone or in person.
Qualifications: High school diploma or GED. Minimum of 2 - 3 years of related clerical or secretarial experience. PREFFERED: Some college along with some clerical or secretarial experience
