Job Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office and providing administrative support to various departments. This is a full-time position with opportunities for growth and development.
Responsibilities:
1. Performs data entries into the computer database (Epicor, Excel and Word).
2. Performs scanning of documents into DocBuild, Easy File and other computer files.
3. Performs Receptionist duties such as answering the phone, typing letters and mailing.
4. Assist Customer Service with processing sales order entries in Epicor, updating sales orders and allocating inventory for shipping.
5. Assist Customer Service with customer forecast to determine if requirements for new jobs and enter new jobs in Epicor to be produced.
6. Assist Customer Service with reconciling packing slips of parts shipped with the invoices and they both match.
7. Complete verification of data accuracy entered in computer is done weekly.
8. Complete other tasks as assigned.
9. Promote cooperative communication skills between coworkers and management.
10. Knowledge of with AS9100 Quality Management System Sections QAP 7.5, QAP 8.2, QAP 8.5.
Qualifications:
· Prior Customer Service, Secretarial, Administrative Assistant and/or Clerical experience is strongly desired
· Solid math skills required, including the ability to add, subtract, multiply and divide
· Must be able to operate a computer and typing skills is a must
· Ability to read blueprints
· Must have strong work ethic and attention to detail
· Demonstrate exceptional organizational skills.
· Good interpersonal communication skills a must.
· Self-motivated.
· Ability to multi-task.
Education & Knowledge:
· High School Diploma or GED required.
Equipment, Machines and Software Used (Preferred):
Experience with computers, printers, Epicor, Outlook, Word, Excel, Easy File, DocBuild, photocopiers, telephones, faxes, scanners and calculators.
