Position Summary
The Office Assistant provides administrative and mailroom support to attorney(s) and paralegals(s) with various tasks, including receiving, inspecting, sorting, and sending mail. The Office Assistant also assembles packages to send to USCIS and other agencies. Inspects and maintains documents, files and filing systems. Performs data entry and data retrieval for the legal team.
Essential Duties/Responsibilities:
- Receive, open, inspect, sort and distribute incoming mail daily
- Prepare and package outgoing mail daily
- Assemble and submit packets to USCIS
- Communicate with legal staff on priority mail and documents
- Ensure documents, mail, fees and payments are processed in a timely manner to meet deadlines
- Maintain and update databases and tracking systems
- Send, receive and process fingerprint kits
- Uploading documents and incoming mail
- Respond to all case-related inquiries
- Communicate effectively with clients and teammates
- Ability to work independently and in a team environment
- Maintain a consistent attendance record and availability
- Performs other duties as assigned
Skills/Abilities
- Must be Bilingual (English/Spanish) written/oral. Fluency is mandatory
- Exceptional written and verbal communication skills
- Word processing skills include, but are not limited to data entry and typing
- Excellent research and time management skills
- Detail Oriented
- Able to exercise good judgment
- Ability to maintain confidentiality
- High level of MS Office Suite/Google Suite, including Word, Excel, Google Docs, Google Sheets, etc.

Education/Experience
- High school diploma or GED required
- 1 year of administrative work experience.
- Basic knowledge and proficiency with office equipment
- Experience with mailroom operations is preferred but not required
Physical Requirements
- Crouching: Bending the body downward and forward by bending leg and spine.
- Reaching: Extending hand(s) and arm(s) in any direction.
- Standing: Remaining upright on the feet, particularly for sustained periods of time.
- Walking: Moving about on foot to accomplish tasks, moving from one work area to another.
- Talking: Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to other workers accurately, loudly or quickly.
- Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction, and having the ability to receive detailed information through oral communication, and making fine discriminations in sound.
- Repetitive Motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.
- Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
- The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer screen, extensive reading.
- The worker is not substantially exposed to adverse environmental conditions (as in typical office or administrative work.
