We are a small family run construction contracting company that specializes in property maintenance and small remodel projects. We are seeking a highly skilled and organized individual to join our team. The successful candidate will play a crucial role in supporting our administrative functions and ensuring the smooth operation of our work flow management. The ideal candidate will have excellent communication and organizational skills, as well as a strong attention to detail.
Responsibilities:
- Answer incoming calls and communicate with customers, subcontractors and suppliers
- Use scheduling software to coordinate, schedule, and organize job assignments
- Ensure that field employees have what they need to complete jobs as scheduled
- Order materials from established vendors
- Monitor project progress and update schedules as needed to reflect changes in scope, timeline, or resources.
- Communicate schedule updates and changes to all relevant parties in a clear and timely manner.
- Provide general support to the office administration
- Perform data entry tasks accurately and efficiently
- Maintain office files and ensure proper organization
- Demonstrate computer literacy and proficiency in Microsoft Office Suite
Skills:
- Excellent customer service skills
- Strong data entry skills for accurate and efficient input of information
- Strong organizational and problem-solving skills
- Excellent proofreading skills to ensure error-free documents
- Familiarity with office procedures and file management systems
- Knowledge of phone systems to handle incoming calls professionally
- Ability to perform tasks without immediate supervision
- Computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to enter work orders into the system accurately and efficiently
- Proven experience in project scheduling, preferably in the construction industry.
- Flexibility and adaptability to adjust priorities and schedules as needed to meet changing project requirements.
