Temple Solel, a vibrant Reform congregation in Cardiff-by-the-Sea, California, seeks a full-time Office Administrative Assistant. The ideal candidate will be a master multi-tasker who has strong organizational and interpersonal skills; is detail oriented; and has a track record of being efficient, proactive and enthusiastic. We seek a committed team player who will be comfortable adapting to our ever changing needs and take on new challenges while continuing to do an outstanding and meticulous job with recurring administrative tasks.
Essential Duties & Responsibilities:
- Supply and Office Management:
- Maintain inventory of office supplies and order as needed.
- Oversee the general tidiness and organization of the office space.
- Maintaining office equipment including the administrative office kitchen equipment, copier machines and postage machine.
- Administer gift shop sales.
Internal Administration:
- Manage the congregational calendar, ensuring it is up to date and and accurate
- Handle HR paperwork, including onboarding and maintaining employee records.
- Assist in organizing and coordinating temple events, meetings, and programs.
- Shop for certain programs offered throughout the year to include Club 7 (7th grade class that meets once a month), shabbos table (congregation wide pot luck dinner once a month), and other programs as requested.
- Assist with mailings to include copying, envelope stuffing and paper cutting/folding, receiving and distributing all incoming and outgoing mail/packages.
- Provide support for events including maintaining schedules, task lists, ticket processing, coordinating CEO reconciliation reports, and creating spreadsheets/letters/templates as needed.
Member Support
- Answering all Temple telephones lines in a pleasant, welcoming and courteous manner questions/assisting with member inquiries.
- Receiving visitors in a pleasant, welcoming and courteous manner/directing visitors to their destination.
- Learn Temple Solel membership database, Shulcloud, and provide support as needed.
Record keeping:
- This includes maintaining and updating Synagogue records including but not limited to deeds, permits, insurance agreements, personnel records including compliance certificates and timesheets, and Certificates of Insurance from vendors.

- Availability to work some nights and weekends and maintain a flexible schedule
- Intermediate knowledge with Word, Excel, Google Drive, Adobe required.
- Not required, but helpful: Familiarity with Constant Contact & Shulcloud.
- Not required, but helpful: Spanish fluency.
