Summary:
Dean Mead, a full-service Florida Business law firm, is seeking a full-time Office Assistant to work in our Fort Pierce office.

Duties and Responsibilities:
The Office Assistant will be responsible for a number of clerical and administrative duties, including:
- Opening/Closing Office: Turn on/off lights; Start equipment; Open/close lobby; Unlock/lock doors; Check meeting schedule and prepare conference rooms for meetings.
- Reception Services: Answer phone and direct calls; Field new client inquiries and provide referral information; Greet visitors; Accept deliveries; Maintain conference room calendar and set-up/order food for meetings.
- Assistant Services: Open/change client matters; Prepare client engagement letters; Create new files for client matters; Create/update LLC Binders; Update closing schedules; Assist with monthly billing; Prepare check requests; Close matters and prepare files for off-site storage/destruction; Prepare disengagement letters.
- Mailroom Services: Create mailing labels; maintain postage meter and log postage; Process and post outgoing mail; Pickup/drop off mail to post office and/or postal box; Open, date, and distribute incoming mail.
- Runner Services: Hand deliver documents; Run local errands on behalf of Office Administrator; Log and post mileage. Note that a personal vehicle must be used for runs; Dean Mead reimburses mileage per IRS requirements.
- Records Management: Maintain off-site/on-site file inventory; Send and recall files to off-site storage.
- Office Supplies: Receive and unpack office supply deliveries; Keep supply room stocked and in neat order; Stock copy machines and other equipment.
- Other administrative duties, as assigned by supervisors.

Education and Experience:
- Minimum of 3+ years relevant administrative/clerical experience in a professional office setting (Required).
- Proficient in Microsoft Office Suite and PDF (Required).
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to complete deliveries and pick-ups using personal vehicle.
- Must be able to lift up to 40 pounds at times.
Work Environment:
- This position reports to work in-person at our Fort Pierce office.
