Objectives of Role:
- Maintain workflow by analyzing and refining standard operating procedures such as scheduling, communications, and office layout
- Provide exceptional customer support by responding to inquiries and resolving issues promptly
- Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
- Achieve organizational goals while adhering to best practices
- Ensure optimal use of equipment, supplies, and inventories through preventive maintenance
Responsibilities:
- Manage the front-desk and reception areas, serving as the first point of contact for guests, employees, job candidates, and vendors
- Perform general administrative tasks, such as answering and directing phone calls; handling email, faxes, files, meeting minutes, mailings, and deliveries
- Scheduling appointments/ site visits
- Maintain filing system, contacts database, employee lists, and inventories
- Proofread & type various documents to ensure accuracy and professionalism
- Perform clerical duties such as filing, copying, and organizing documents
- Sorting & sending out mail
- Keep inventory of office supplies and ensure office equipment is operable
- Calling for services when necessary (Repairs, etc...)

Preferred Skills/ Qualifications:
- Customer service
- Strong organizational skills
- Previous experience as a receptionist or in a similar administrative role is preferred
- Proficiency in project coordination and calendar management
- Strong ability to transcribe information quickly and accurately
- Proficiency in computer programs such as Word, Excel, etc... and an aptitude for learning new software and systems
- Excellent verbal and written communication skills
- Strong time management and multitasking abilities
- Flexibility and the ability to prioritize new tasks as they come in
- Ability to maintain confidentiality of company information
Job Type: Full-time
Pay: $17.00 - $21.00 per hour
Expected hours: 32 – 40 per week
