Job description

The Office Administrator plays a crucial role in providing administrative support within a manufacturing environment. This position requires a detail-oriented and organized individual who can efficiently manage office tasks, coordinate communication, and contribute to the smooth operation of the manufacturing office.

  • Administrative Support:
    • Handle day-to-day administrative tasks, including filing, data entry, and document management.
    • Prepare and distribute internal and external communications, including emails, memos, and reports.
    • Maintain organized and up-to-date office records and documentation.
  • Communication Coordination:
    • Serve as a point of contact between various departments, facilitating effective communication.
    • Answer and direct phone calls, take messages, and handle inquiries from both internal and external stakeholders.
    • Coordinate meetings and assist in the preparation of meeting materials.
  • Office Management:
  • Manage office supplies and equipment, ensuring adequate stock levels and initiating procurement when necessary.
  • Oversee office cleanliness and organization, coordinating with relevant teams for maintenance.
  • Human Resources Support:
  • Assist with HR-related tasks, including new employee onboarding, maintaining personnel records, and coordinating training sessions.
  • Support the recruitment process by posting job openings, scheduling interviews, and assisting with the orientation of new hires.
  • Data Entry and Reporting:
  • Input and manage data in relevant databases, ensuring accuracy and completeness.
  • Generate reports as needed, providing timely and accurate information to management.
  • Event Coordination:
  • Assist in organizing company events, meetings, and conferences, including logistics and coordination of participants.
  • Health and Safety Compliance
  • Collaborate with relevant teams to ensure compliance with health and safety regulations within the office environment.

Qualifications and Skills:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as an Office Administrator or in a similar administrative role.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to adapt to a dynamic and fast-paced manufacturing environment.
  • Knowledge of basic human resources practices is desirable.

Working Conditions:

  • Office-based with occasional interaction with the manufacturing floor.
  • May require some flexibility in working hours to accommodate business needs.
