We are looking for a talented Executive Administrative Associate to join our team specializing in General Management for our Engine Business Segment in Columbus, IN.
In this role, you will make an impact in the following ways:
- Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others.
- Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.
- Arranges and coordinates travel arrangements including expense reports and visa/passport requirements.
- Gathers, compiles, verifies and analyses information for management' use in documents such as memos, letters, reports, speeches, presentations and news releases.
- Facilitates smooth communications between senior management and coworkers and between senior management and external parties such as media, customers, vendors and the public.
- Maintains the security and confidentiality of management' records and files.
- Performs various tasks using independent judgement and discretion, e.g., preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.

Education, Licenses, Certifications
- High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
Experience
- Significant work experience and in-depth knowledge obtained through specialized training and relevant experience.
- Looking for an experienced and high energy executive administrative assistant that is interested in working for a dynamic business leader with extensive global travel, community engagement and speaking events.
- This is a hybrid position. Candidate is required to be onsite in Columbus 3-4 times per week or as needed by executive.
- Additional responsibilities include:
- Manages calendars and scheduling for executive
- Prepares executive for community and speaking events
- Manages expense report filing for executive (dinners, events, travel, etc.)
- Manages all aspect of travel for executive (global entry, booking tickets, hotels, cars, etc.)
- Coordinates monthly staff agenda and meetings
- Manages fleet of marketing trucks for Pickup Business
- Leads Right Environment work for Pickup Business
- Basic MS Office skills (Excel, PPT, etc.)
- Coordination with customer visit group
- Ad hoc admin support for extended staff members
- All other duties as assigned.
- This is a hybrid role - Expected to be onsite 3-4 days a week.
- Pay starting at $26.50/HR or higher, based on experience level.
Compensation and Benefits
Base salary rate commensurate with experience.
