Position Overview: We are seeking a detail-oriented and compassionate New Patient Coordinator to play a crucial role in welcoming New Patients to our practice and ensuring their experience is seamless from start to finish. This position will also provide support to the Treatment Plan Coordinator as needed, contributing to the overall success of our patient care efforts.
Responsibilities:
- Greet and check in patients upon arrival, verifying contact information and ensuring compliance with HIPAA financial policies.
- Scan and organize New Patient documents, including insurance cards, breakdowns, and health history forms.
- Facilitate the transfer of records from previous dental providers, ensuring continuity of care for our patients.
- Handle incoming calls, prioritizing patient inquiries and scheduling New Patient appointments with efficiency and professionalism.
- Confirm next-day appointments to minimize scheduling conflicts and maximize patient attendance.
- Review and import case reports from specialists, scanning them into our document center and scheduling follow-up appointments as necessary.
- Assist with the electronic transfer of X-rays and patient records to other dental offices as needed.
- Manage correspondence, including sending thank-you cards for referrals and welcome cards to New Patients.
- Maintain daily schedule accuracy and coordinate the pickup and delivery of lab cases.
- Perform routine administrative tasks such as routing slips, insurance verification, and managing pre-authorizations.
- Ensure the cleanliness and organization of the office environment, including the reception area and mail handling.
- Complete daily financial deposits at the end of each business day.
- Perform other duties and responsibilities as assigned by management.
Requirements:
- High school diploma or equivalent; additional education or training in healthcare administration is preferred.
- Previous experience in a customer service or administrative role, preferably in a dental or healthcare setting.
- Strong communication and interpersonal skills, with a focus on delivering exceptional patient service.
- Excellent organizational abilities and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Proficiency in computer skills, including experience with dental practice management software.
- Ability to work independently as well as part of a collaborative team environment.
- Commitment to maintaining patient confidentiality and compliance with HIPAA regulations.
