Summary
The Division of Public Safety and Security (DPSS) Department of Michigan Medicine Security (MMS) seeks an Administrative Specialist. Reporting to the Security Senior Director, you will provide professional administrative support to the Security Senior Director and our MMS directors and ensure the efficient operations of the department.
We are a full-service Security Department responsible for providing safety and security to all areas of our community. This is an on-site position for Michigan Medicine Security, located at 1500 E. Medical Center Dr. Med Inn Building.

Responsibilities*
Your primary responsibility is to provide administrative support as follows:
- Manage directors' calendars, schedule appointments, and coordinate meetings
- Coordinate communications and logistics between our MMS Directors and other U-M Health departments
- Prepare correspondence, memoranda, and reports on behalf of the Senior Director and department directors
- Supervise administrative support and student employees and temporary staff
- Handle confidential information with discretion and maintain confidentiality
- Coordinate budget and staffing requests
- Help handle coordination of interviews and onboarding of new staff
- Track projects and ensure completion of action items
- Maintain confidential files and drafts, edit and proofread reports
- Collaborate with other DPSS representatives on scheduling and department projects
- Analyze information regarding our procedures to identify opportunities for process improvements and suggest solutions
- Other responsibilities as assigned
Required Qualifications*
- High school diploma or GED
- At least four years of progressively responsible director level support experience
- Demonstrated past success communicating confidentially and collaboratively with leadership team members, other high-level administrators, and internal and external community members
- Demonstrated experience managing multiple projects and deadlines
- Demonstrated experience anticipating support needs for multiple directors and maintaining confidentiality
- Proficiency with MS Office (Word, Excel, and PowerPoint) and Google suite (documents and calendars)
Additional Information
All members of the Division of Public Safety and Security (DPSS) are considered Campus Security Authorities (CSAs) under The Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act.
As such, you are required to report Clery reportable offenses that come to your attention. DPSS employees are required to complete Clery Compliance Training within the first 14 days of employment and annually thereafter.
