Job Description: Finance Administrative Support Specialist
Job Summary: Supports both the CLS Department and the Interpreting Department by providing data entry, payroll functions, billing and tracking functions.
RESPONSIBILITIES:
- Will rotate duties at the front desk during office time on a weekly basis.
- Audit all employee punch in and out times for hours worked and accuracy.
- Monitor email from employees for adjustments to clock in and clock out times.
- Track and make notes for any adjustments made in employee time in and time out.
- Compile and submit payroll deductions, related check requests, and payments as needed.
- Maintain, prepare, and process payrolls for all employees.
- Assist with tracking all involuntary and voluntary payroll deductions.
- Input any payroll deduction changes for employees as needed.
- Finalize each shift worked for billing to ensure that documentation is complete, and shift can be billed to customer.
- Prepare billing reports and invoices (interpreting and CLS Departments), enter all charges for departments to be reviewed and submitted.
- Assist with preparation of accounts payable to ensure all payments are processed and printed properly and in a timely manner.
- Assist with tracking and preparation of reports related to Accounts Receivable, Accounts Payable, Payroll, HR Attendance, Billing, Incentive Time, Payroll Deductions, etc.
- Maintain current knowledge of IRS regulations HR-032d (October 2024)
- Actively participate on committees to improve the agency as a whole (i.e. fundraising, website, etc.)
- Other duties as assigned by the Ex. Director
QUALIFICATIONS: Proficient at Microsoft Word, Excel and/or other applications, e.g. Access, QuickBooks and PowerPoint. Must possess a college degree or related experience in accounting and business.
REQUIREMENTS: Must have the ability to communicate effectively both verbally and in writing. Must possess excellent computer skills (VOICE, Inc. uses QuickBooks Online and Microsoft Office Professional). Must be able to understand and perform a wide variety of bookkeeping principles and functions related to the maintenance of financial records including billing, preparing payroll and timekeeping records, and payables. Must be willing to cross train and fill in as necessary for other agency staff at the Admin Asst level.
