Position Description:
The individual will be a key member of the Meetings & Events team. We are seeking an individual who brings event management expertise as well as a dynamic, adaptable, and focused perspective to the role. This energetic, detail-oriented and highly organized individual will ensure that an event meets and exceeds a client’s expectations. This individual will need the ability to roll up their sleeves to do whatever it takes to accomplish the project. Expertise to source quality vendors for venues and gifts while staying within a client’s desired budget is critical. The array of internal and external events range in size from 10-450 people include the following: partner retreats, investor conferences, CEO summits, training & development programs, business unit offsites, holiday events, and other employee events.
Responsibilities Include:
Working with Global Events Director and business unit partners, strategically envision events and create action plans to ensure flawless execution
Develop creative ideas to help achieve the vision of events
Manage multiple meetings and events simultaneously
Execute sourcing initiatives and lead RFP process
Manage and create budgets
Negotiate with hotels, venues and other vendors
Working with IT team, organize audio/visual equipment needs
Coordinate hotel accommodations, meeting space, ground transportation, food & beverage selection and gifts
Create event collateral including themed name badges, gift bag labels, and menus
Personally attend and oversee events to ensure client satisfaction
Review, reconcile and process payments
Qualifications:
10+ years of demonstrated corporate meeting and event experience
Strong interpersonal, written and verbal communications skills
Ability to work across various seniority levels within the organization
Top level customer service skills
Creative thinking and problem-solving skills
Ability to handle evolving priorities
A high level of level of initiative, self-motivation, flexibility, creativity and collaboration .
Team Management – coordinating with internal AV team and external vendors to make ensure everyone is coordinated
Logistics – Possess a degree of skill in logistics to properly plan the details and anticipate potential problems that may arise
Travel – approximately 30%
Education:
A bachelor’s degree in event planning or marketing is preferred.
