HubSpot is looking for an experienced Manager, Event Production to be an integral part of our Global Events team. We are looking for someone who can lead with influence across many different workstreams and understands how all the moving parts come together to produce a holistic event. This person will take the lead role on our internal Flywheel Kickoff event in 2025 and play a key role in the production of our marquee external event, INBOUND.

The ideal candidate has an entrepreneurial spirit, an ability to manage through ambiguity, and can oversee many different workstreams at various stages. We are looking for someone who understands the ins and the outs of how live events come together and can lead with influence across all workstreams as well as ensure our team is set up with the right systems and processes to scale. This role also directly oversees our attendee engagement plan and works with marketing to create attendee communications, thus strong communication and organization skills are a must, as well as the understanding of critical, key milestones and deadlines when working on Event Production.

In this role you'll get to:

  • Lead cross functional collaboration to bring our Flywheel Kickoff event strategy to life - bridging the gap between production, programming, GTME, and sponsorship.
  • Influence strategy, experiential design, production, and operations to ensure that all event goals are achieved effectively. Push operational excellence to the forefront of all planning, ensuring we deliver impactful events with seamless logistics.
  • Drive projects throughout the various stages of the project life cycle including strategic development, technical discovery, fabrication and buildout, and on-site installation / execution.
  • Partner with key HubSpot stakeholders across the business to establish key business goals and bring various experiences to life experientially. Manage the strategic briefing process through to onsite implementation.
  • Oversee the team who manages various event components in collaboration with the external agencies (logistics, creative, production, staffing, venue, F&B, security, etc).
  • Draft strategic briefs and keep track of requirements, dependencies, budget / schedule constraints, or other specifics that may emerge throughout production. Ensure agency support delivers upon all expectations.
  • Bring the attendee journey to life through all aspects of planning, keeping innovation at the forefront and ensuring that the bar is kept high at all stages of production.
  • Manage attendee engagement comms to ensure that we generate excitement and build awareness of all event logistics, ensuring our attendees are well prepared for our events.
  • Drive the evaluation of all planning post-event and determine areas for growth, opportunity, and improvement. Implement best practices based on these findings to ensure operational excellence year over year.
  • Support vendor pitches and / or RFP processes as needed. Negotiate and Contract MSAs/SOWs and open POs for all partnerships as needed.
  • Maintain a wide production portfolio of event vendor contacts and industry leaders (creative agencies, production companies, environmental designers, etc.) and always keep a pulse on the industry to find new and innovative strategic partnerships.
  • Build and grow a high-performing and diverse team of producers across skill levels.

We're looking someone who:

  • Has a proven track record of leading production for large scale events (2,000+) with a history of contributing to both strategy and logistics.
  • Has successfully managed direct reports, focusing on individual growth plans and helping optimize a team.
  • Is agile and an experimental learner, bringing new ideas to the team and moving at a fast pace to hit goals.
  • Maintains superior project management skills that see things from ideation through to fabrication and onsite implementation.
  • Has managed large budgets, successfully forecasting spend and minimizing risk through detailed reporting.
  • Can work cross functionally and form deep connections with team leader(s) and external production vendors.
  • Seeks to understand the why behind what we do and use this to influence our planning.
  • Has an innate attention to detail with strong organizational skills and is capable of keeping the work consistent and on-track.
  • Focuses on innovation - with the ability to see the big picture of what makes Global Event Production unique - where it's been, where it is today, and where we want it to go.
  • Drives production evolution as well as making sure that all new ideas are met with solid plans for execution will be key.
  • Bonus: Has worked on internal events globally.

Cash compensation range:
116000-174000 USD Annually

The cash compensation above includes base salary, on-target commission for employees in eligible roles, and annual bonus targets under HubSpot's bonus plan for eligible roles. In addition to cash compensation, some roles are eligible to participate in HubSpot's equity plan to receive restricted stock units (RSUs). Some roles may also be eligible for overtime pay. Individual compensation packages are based on a few different factors unique to each candidate, including their skills, experience, qualifications and other job-related reasons.
