Duties:
- Compiling a weekly schedule to ensure we have adequate staff available each week to meet the needs of our patients.
- Ensuring all staff is adequately trained in their roles to set them up for success. If any are found lacking or in need of additional training, take proactive measures to address those gaps by utilizing available resources.
- Maintain a precise inventory of all products, closely monitoring their usage, location and allocation.
- Proactively find areas of improvement for a better flow of business and present them to the President for approval.
- Actively communicate with HR in regard to the performance, attendance and conduct of each employee for their 6-month evaluation.
- Authorize and ensure all $25 credits given to customers are entered in Zenoti.
- Order essential products in a timely manner to ensure the Spa is always stocked.
- Control the daily attendance of staff.
- Ensure all waiting areas, including the employees’ break room, are stocked with water, drinks and snacks. Order on a weekly basis.
- Ensure we have accurate protocols for all treatments, and they are followed on every appointment.
- Check cash closures daily with front desk and deposit cash from the previous day to the bank.
- Ensure staff provides outstanding customer service for all customers.
- Resolve doubts, complaints and inconveniences from staff and customers.
- Report any discrepancy in staff payroll hours.
- Conduct a weekly check up on protocols and enter working rooms during procedures to verify if protocols are being followed.
- Have weekly staff meetings to inform them of any changes that have been made or will be made as well as any complexities with any product or service.
- Establish random Zenoti checkups to ensure information is being entered properly.
- Ensure the clinic is fully staffed and in the event of any shortages, promptly contact HR to address staffing requirements.
- Ensure that the Clinic is open Monday – Saturday from 9:00 AM – 5:00 PM with the exception of the days that we will open until 8:00 PM.
- Coordinator is responsible for all the financing options for the customers and ensures that we are following regulations and requirements.
- Ensure that all clients complete Xperience.
- Get the necessary inventory from headquarters.
- Maintain at least 500 active members in your location.
- Ensure to increase Google review.
Skills:
- Excellent customer service skills, with the ability to provide personalized attention to clients
- Proficient in English and Spanish, both verbal and written communication
- Knowledge of accurate sales transactions and inventory management
- Familiarity with electronic devices and wireless technology for product demos
- Ability to multitask and prioritize tasks in a fast-paced environment
- Detail-oriented with strong organizational skills
