Western NC Community Health Services (WNCCHS) provides patient centered, team-based primary care to residents of Western North Carolina. We are looking for an energetic, organized, friendly Full-Time Medical Records Specialist to join our growing team!
The Medical Records Specialist will compile, process, and maintain Medical Records in a manner consistent with ethical, administrative, legal, and regulatory requirements. Retrieve, maintain, and release Medical Records/Protected Health Information (PHI) according to established policies and procedures and in compliance with the Health Information Portability and Accountability Act (HIPAA) and the Privacy Rule.
The position is located at our Minnie Jones Health Center, 257 Biltmore Avenue, Asheville, NC. After the completion of a 90 day on-boarding period, the candidate may be eligible for a hybrid work arrangement. A hybrid work schedule would include a pre-planned and approved combination of in-person and remote work days.
RESPONSIBILITIES – Includes but not limited to the following:
- Compile, process and maintain electronic Medical Records
- Able to multi-task and be well organized
- Interact with a wide range of staff, physicians, and the public.
- Maintain electronic health records well-organized and readily accessible by authorized personnel.
- Ensure that data in the electronic health record are accurate, complete, timely, and in compliance WNCCHS’ policies and procedures.
- Process requests for external Medical Records in a timely manner.
- Scan paper documents into the patient’s electronic health record correctly and on a timely basis.
- Upon request, retrieve old Medical Records for authorized personnel.
- Release documents containing Protected Health Information (PHI) according to applicable law, regulations, and WNCCHS’ policies and procedures.
- Track and account for the release of all documents containing PHI in a complete and accurate manner.
- Manage and distribute documents coming through the centralized fax system.
- Ensure that data required for tracking clinical performance measures are accurately and timely entered in the appropriate database.
- As assigned, extract and organize data from electronic records (e.g., Intergy, internal spreadsheets) in the manner requested by WNCCHS management.
- Participate in quality assurance/quality improvement activities.
- Occasionally, other appropriate duties and responsibilities may be assigned by the supervisor.
- Participate in mandatory in-services, drills, staff meetings and other trainings.
- Perform duties in a prioritized, organized, and orderly manner to maximize efficiency and productivity.
- Facilitate the maintenance of a clean, neat and well-organized work area.
- Participate in quality improvement activities by initiating or contributing to monitoring, measuring, analyzing, improving and/or controlling program goals, objectives and/or services.
- Support current incentive, regulatory, and certification requirements (such as Meaningful Use, PCMH and UDS) through documentation, participation in initiatives, and other activities as directed.
- Perform other work duties as assigned.
- 2 years working in medical office and/or Medical Records
- Proficient in the use of Microsoft Office programs to produce correspondence, documents, presentations, records and spreadsheets.
- Excellent verbal and written communication skills
- Familiar with HIPAA regulations and medical terminology
- Expert knowledge of medical office operations preferred
- Familiarity with role of FQHCs in the community preferred
- High School Diploma or GED.
- Required valid and unrestricted license to drive a motor vehicle in North Carolina.
- Math skills to quickly calculate the cost of goods and services.
- Plan, prioritize and complete delegated tasks with attention to detail.
- Proficiency in the use of Microsoft Office programs to produce correspondence, documents, presentations, records, and spreadsheets.
