About the Role
PHM seeks a highly skilled Medical Records Specialist to work closely with the Medical Records team in handling a variety of clinical administrative functions. This person is personable, and detail oriented with an impressive track record as a computer savvy administrative professional with excellent communication skills and experience working in a medical or healthcare setting. The Medical Records Specialist will report to the Manager, Medical Records Operations.
Primary Responsibilities
- Coordinate and oversee the collection and administration of Medical Records and related information from doctors’ offices, hospitals, and facilities
- Compile, process and maintain Medical Records in a timely manner consistent with medical administrative, ethical, legal and regulatory requirements
- Work directly with clinical staff (RN’s & MD’s) to facilitate and expedite cases
- Develop and maintain relationships with medical record facilities
- Daily and consistent communication with service lines and MR Team via phone, emails and zoom
- Think creatively to prevent and mitigate case delays, influence external entities to secure Medical Records and files
- Ensure timely and accurate follow-up of all assigned cases and facilities
- Document case information timely, clearly, and concisely
- Perform duties include receipt, intake, scanning, indexing of health and admin info
- Perform online searches for Provider and Hospital contact information
- Document of record request via PHMCare, uploading and downloading images studies into Ambra Health/PowerShare/LifeImage
- Separate and label records uploading into Box
- Ensure all casework and processes follow HIPPA compliant protocols with all parties encountered throughout the process
- Maintain filing and storage systems as required for electronic and CDs and physical records
- Burn images studies onto a disc and drop to FedEx for shipping
- Share images with Providers offices and confirm receipt of medical imaging transfer
- Create fax cover sheet and review medical authorization forms
Qualifications
- High School graduate (Diploma or GED)
- Minimum 2 years of professional experience in a healthcare setting
- Familiarity with MS Word, Acrobat Adobe, MS Excel
- Knowledge of medical terminology
- Familiar with Medical Records
- Excellent communication and customer service skills

Work Environment
- This is a remote role requiring that you live in one of the states where we currently have business operations – (AZ, CA, CO, FL, GA, IL, NJ, NC, NM, NY, OH, OR, PA, SC, TN, TX, UT, WA).

The salary range for this role is $52,000 - $57,000.
