MISSION & VISION STATEMENT:

POSITION PURPOSE:
The incumbent serves as administrative support for staff and provides clerical and administrative support by coordinating office-related activities to improve the overall operations, effectiveness and efficiency of the organization. Performs a variety of administrative duties which require a range of skills and knowledge of organization policies and procedures, assists and directs visitors as needed, and resolves administrative problems and inquiries.

ESSENTIAL DUTIES, FUNCTIONS & RESPONSIBILITIES:
- Coordinates and performs a range of staff and/or operational support activities for the outpatient clinic.
- Serves as a liaison with other departments and operating departments in the resolution of day-to-day administrative and operational problems.
- Provides administrative/secretarial support for the department/division such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries, scheduling and rescheduling as needed per circumstance.
- Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports.
- Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of routine written inquiries.
- Coordinates the patient appointment book and patient flow. Schedules all patients for the clinical department.
- Greets patients, visitors, and general public, directly face to face or over the phone to provide fast friendly and courteous service.
- Completes all necessary program and patient paperwork including exam forms.
- Coordinates all Medical Receptionist functions utilizing a computerized patient registration systems which includes but is not limited to scheduling patients, placing follow-up calls on appointments to patients and printing outpatient summaries.
- Ascertains whether the patient has received an explanation of the Health Insurance Portability and Accountability Act (HIPAA), and acquires their signature on a form to be place in the medical record.
- Maintains an individualized recall system for patients.
- Prepares requisitions for patient specialty needs, maintains spreadsheets, and filing system with eligibility information.
- Interviews patients to obtain pertinent registration information including insurance information and authorizations to enable the business office to bill services.
- Orders and receives all office supplies.
- Prepares work orders and coordinates clinic needs with pharmacy, maintenance, biomedical, information management services, housekeeping, and other departments
- Retrieves charts from medical records, reorganizes charts after seen by provider, and returns at the end of the day
- Calls patients to confirm appointments daily
- Maintains a call list of patients
- Knowledge of computer scheduling system
- Performs additional duties and responsibilities as deemed necessary or assigned.
MINIMUM MANDATORY QUALIFICATIONS:
Education:
- High School Diploma or GED.
Experience:
- Must have minimum three (3) years clerical work experience in a professional office environment.
Mandatory Knowledge, Skills and Abilities:
- Excellent customer service skills.
- Must be able to multitask.
- Must be fluent in use of Microsoft Office Suite (Excel, Word, PowerPoint) and type 40 WPM.
- Able to efficiently communicate with clinical personnel, patients, visitors and other delegates.
- Ability to coordinate clinical functions required for continuity of health center operations.
PREFERRED QUALIFICATIONS:
• Experience working in a professional office environment.
• Bilingual skills in English or the Keres native language.
WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the primary functions of this job. Normal office conditions exist, and the noise level in the work environment can vary from low to moderate. In addition, work is performed in a clinic outpatient and/or field setting and may include exposure to infection, disoriented patients, and communicable disease. This position may be exposed to certain health risks that are inherent when working within a health center facility.
PHYSICAL DEMANDS:
Work is performed in an interior medical-clinical environment. Light physical effort which requires handling of average-weight objects up to 10 pounds. Standing and or walking for more than 4 hours per day.
MENTAL DEMANDS:
There are a number of deadlines associated with this position. The employee must also multi-task and interact with a wider variety of people on various and, at times, complicated issues.
