Medical PracticeCall Center/Front Desk Receptionist position available for a Beautiful Dermatology and Mohs surgery practice with multiple locations in the Greater Jacksonville area.

Summary: This position will be cross trained between Call Center and Front Office.

Call Center - Operates call center switchboard covering multiple locations. Provides general information about Park Avenue Dermatology including directions, scope of services, available treatments, and products available for sale. Assists patients with scheduling appointments, cancellations, and re-scheduling. Completes new patient registration including demographics and insurance information.

Medical Receptionist - Responsible for greeting incoming patients and visitors, insurance verification, appointment scheduling, medical record maintenance, preparation of charts for next day appointments, answering telephone calls, and assisting callers with scheduling and information as needed by performing the following duties.

Position reports to Call Center/Front Desk Supervisor.

Duties and Responsibilities include the following. Other duties may be assigned.

  • Schedules appointments, cancellations, and reschedules.
  • Completes new patient registration.
  • Updates existing patient electronic medical record.
  • Answers incoming calls in a prompt and courteous manner, takes accurate messages, and screens and direct telephone calls to the appropriate personnel throughout the organization.
  • Fields sales and nuisance calls.
  • Enters all new referrals.
  • Handles and distributes all incoming faxes.
  • Receives and answers all emails requesting appointments and cancellation.
  • Ensures the readiness of the reception area and ensures that all front desk activities are fully operational at the start of business hours.
  • Greets and identifies patients and visitors in reference to the daily schedule to obtain additional patient information as needed.
  • Verifies insurance and patient demographic information.
  • Retrieves and prepares patient charts according to schedule.
  • Reviews patient charts to ensure proper documentation and information are enclosed in accordance with practice guidelines.
  • Receives payments from patients and prepares daily End of Day Summary sheet.
  • Requests patients and visitors be seated in the waiting room and communicates unexpected delays when necessary.
  • Calls to confirm appointments (not confirmed by other methods) two days prior to appointment.
  • Routes and files medical records, patient charts, and reports as appropriate.
  • Scans financial documents and miscellaneous correspondence into appropriate patient charts.
  • Forwards patient concerns and feedback to appropriate personnel within Park Avenue Dermatology for resolution and optimization of clinic efficiency.
  • Performs clerical duties including filing, typing, and preparing labels.
  • Participates in staff and educational meetings.
  • Willingness to travel to any Park Avenue Dermatology location upon request.
  • Keeps work area clean, tidy, and well stocked. Notifies supervisor of items that need to be ordered.
  • Cross trains within department.
  • Assists in keeping common areas clean including kitchen and break room.

Education/Experience:

High school diploma or general education degree (GED); and one-year related experience with a multi-line phone system and/or training; or equivalent combination of education and experience. Bilingual a plus but not required.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, Microsoft Outlook, and Modernizing Medicine (EMA).
