Overview:
We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team. As a Medical Office Coordinator, you will play a crucial role in ensuring the smooth operation of our Medical Office. The ideal candidate will have experience in Medical Office management and possess strong organizational and communication skills.
Duties:
- Performs select administrative duties.
- Assists front office and clinical staff in developing and implementing short and long-term work plans and objectives.
- Oversees the process to prepare patients for examination and treatment.
- Identifies, analyzes and resolves work problems.
- May assist in the hiring and development of the clerical and clinical staff.
- Coordinate referrals to specialists and other healthcare providers.
- Ensures office and clinical supply inventory is current, mail is opened and processed, office is opened and closed according to established procedures.
- Perform general administrative tasks such as answering phone calls, responding to emails, and handling correspondence.
- Assists with ensuring point-of-service collections are made when applicable.
- Ensures that patients are treated courteously by the office.
- Replenishes office supplies when necessary.
- Works with the providers and clinical staff to ensure efforts are coordinated and high quality patient care is provided.
- Assists in maintaining patient files, records and other information.
- Compiles and condenses statistical data for reports and records.
- Ensures any patient complaints are handled appropriately.
- Perform other duties as required.
- Assists in patient check in and check out.
- Assists in patient referrals.
- Follow HIPAA guidelines to maintain patient privacy and confidentiality.
- Works with credentialing and billing services effectively.
Qualifications:
- High school diploma or equivalent required
- Graduate from a recognized training facility for Medical Assistants and course work in health care office management required.
- One year Medical Office experience experience is highly preferred
- Proficient in using medical software E-Clinical Works
- Strong knowledge of medical terminology and procedures
- Excellent organizational skills with the ability to multitask effectively
- Strong attention to detail and accuracy in record keeping
- Excellent communication skills, both verbal and written
- Ability to work well in a team environment
Skills:
- Office management skills
- Human resources knowledge
- Experience working in a Medical Office setting using EMR E-Clinical Works software required
- Knowledge of managed care systems and insurance billing processes
- Ability to plan, organize, delegate and supervise
- Ability to use proper grammar, spelling, punctuation and sentence structure to answer correspondence and prepare reports
- Bilingual; English and Spanish speaking a plus
