County of San Mateo is seeking experienced individuals for the position of Medical Office Assistant II to provide a variety of routine to difficult Medical Office support for various San Mateo County Health Divisions, including Behavioral Health & Recovery Services, Correctional Health Services, Family Health Services, Public Health Laboratory and San Mateo Medical Center. Examples Of Duties

Duties may include, but are not limited to, the following:


  • Act as a receptionist and receive patients and visitors; screen phone calls; take messages or make appropriate referrals; provide factual information regarding the County or specific medical unit activities and services, which may require some interpretation of rules, policies and/or procedures.
  • Order, receive, and organize patient charts for daily appointment schedule preparation, utilization review, and varied record-keeping activities; may pull and file charts located within assigned area; review charts for necessary documentation and diagnostic test authorizations from health care staff; close patient charts as authorized.
  • Provide for intake and registration of patients; interview patients to obtain medical information and appropriate documentation required to open patient charts.
  • Review financial and insurance status of patient; explain treatment costs and methods of payment; perform periodic re-evaluations, re-determinations, and adjustments as necessary; collect fees, issue receipts, and balance daily monies received.
  • Research computerized patient data to determine current status; retrieve, update, and verify information from an online or personal computer.
  • Schedule patient appointments and prepare daily appointment schedule; schedule medical tests and procedures as assigned.
  • Inform professional staff of lab, X-ray, and other diagnostic test results in accordance with established policies and procedures.
  • Prepare a variety of periodic and special reports related to patient care, testing, and results, which may require the use of arithmetic calculations and the consolidation of information from various sources.
  • Transcribe patient information histories, physical examination notes, and related patient medical information containing specialized medical terminology; type various correspondence and documentation pertaining to patient diagnosis and treatment from drafts, dictated tapes, notes, or brief instructions using a typewriter or word processor.
  • Establish and maintain office and patient files; research and compile information from such files.
  • Perform office support activities, such as opening and distributing mail, processing outgoing mail, and ordering and maintaining an inventory of office supplies.

  • May perform routine billing, preparation of medical procedures or test orders, scheduling of medical procedures, review and preparation of patient charts for utilization review and a variety of patient processing, documentation, and record-keeping duties, depending upon assignment.
  • Provide off hours support as required.
  • Perform related duties as assigned.

Some positions may require rotating shift or weekend work. Must be able to push, pull, bend, and reach when retrieving and replacing heavy patient files from/to floor-to-ceiling shelving.

Qualifications

Knowledge of:

  • Policies and procedures related to the outpatient, ancillary, medical records or direct patient care area to which assigned.
  • Medical terminology as related to office support work.
  • Office practices and procedures, including filing and the operation of standard office equipment.
  • Business letter writing and the standard format for typed materials.
  • Basic business data processing principles and the use of word processing or personal computing equipment.
  • Correct English usage, including spelling, grammar and punctuation.
  • Business arithmetic.
  • Basic record keeping principles and practices.

Skill/Ability to:
  • Perform detailed Medical Office support work accurately.
  • Prioritize work and coordinate several activities.
  • Compose routine correspondence from brief instructions.
  • Use initiative and sound independent judgment within established guidelines.
  • Operate standard office equipment, including a word processor and computer terminal.
  • Organize and maintain accurate patient and general files and records.
  • Establish and maintain effective working relationships with those contacted in the course of the work.
  • Understand and carry out oral and written directions.

Note: Specific positions may require the ability to type at a rate of 40 net words per minute from printed copy.
Education and Experience:
Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:
Medical Office Assistant II: One year of journey level experience which required the use of medical terminology and direct contact with patients in a clinic or similar Medical Office setting.

Open & Promotional. Anyone may apply. Current County of San Mateo and County of San Mateo Superior Court of California employees with at least six months (1040 hours) of continuous service in a classified regular, probationary, Confidential and Management extra-help/limited term, and SEIU or AFSCME represented extra help/limited term positions prior to the final filing date will receive five points added to their final passing score on this examination.

The examination will consist of a standard, multiple-choice Civil Service Computer-Based Written Examination (weight:100%). Applicants must participate at their own expense.
