Summary: Performs vitals and other pre-visit work with Article 31 patients. Responsible for ensuring health indicators are within all patients’ records. Assists Psychiatric Providers with caseload management.
A. Job Tasks
· Participates and supports the psychiatry providers and mental health providers in direct patient care under the supervision of the Program Director and/or Associate Program Director
· Takes and monitors vital signs including blood pressure, weight and patients’ reported level of physical pain
· Assists in the engagement of patients into their care and treatment
· Assists in the completion of reminder phone calls and outreach to missed or cancelled appointments
· Assists psychiatry providers in completion of forms
· Obtain information from patients necessary to assist patients in obtaining psychotropic medication refills, obtaining prior authorization where requested
· Obtains Confidential Drug Utilization Reports and other information from the New York State Prescription Drug Monitoring Program.
· Assists patients with chronic medical illness to be connected to appropriate resources or programs.
· Coordinates primary care appointments for patients who do not have a primary care provider or who have not had a primary care appointment within 12 months. Ensures consents with outside providers and facilitates coordination with outside primary care providers
· Collects completed screenings from patients such as the Vanderbilt, Advanced Directives, PHQ-9 and GAD-7 with patients and alerts care team members of results
· Assists in obtaining health screening forms for all patients with outside primary care providers
· Performs routine maintenance/cleaning of equipment and instruments
· Assists in inventory control for medical supplies
· Organizes and retrieves lab, pathology and diagnostics data from the outside laboratories
· Provides patients with education materials and assists with referrals as needed.
· Greets and checks in patients and assists them in accessing services in a timely manner.
· Schedules patient appointments in Epic system. Makes reminder and “no show” calls, and provides schedule information to the practice. Prints, schedules, and confirms appointments.
· Performs a complete registration of patients’ clinical, financial and demographic information into the Epic system. Responsible for the integrity of the data.
· Collects cash from patients for charges and co-payments. Completes all necessary documents for all payments accrued. Matches cash collected to receipts at end of session.
· Reconciles all charges into the system to the original source document
· Verifies insurance coverage on all patients presenting for appointments.
· Sends correspondence to patients’ residence in order to remind, recall or reschedule appointments.
· Refers complex billing issues to the Practice Administrator or Mental Health Billing Coordinator for assistance and resolution.
· Maintains effective communication with patients, families, peers and other members of the health care team.
· Demonstrates the ability to set priorities and organize work. Identifies reports and solves problems effectively. Identifies and reports staffing problems to appropriate manager or administrator
· Monitors patient flow in waiting room and proactively resolves patient flow issues related to registration and post-visit processing
B. Experience and/or Skills
· Computer literacy with proficiency in MS Word, Excel, and PowerPoint.
· Demonstrated organizational, interpersonal, oral and written communication skills and the ability to handle multiple assignments at any time
· Ability to generate, interpret and analyze data from multiple sources.
· Minimum of one (1) year of experience as a Medical Assistant
· Demonstrated competence in auditory testing, visual testing, EKG, venipuncture and taking vitals
· Multi-lingual preferred
