New York Weight Wellness Medicine is seeking a highly organized and friendly Medical Front Office Administrator to join our healthcare team. As a front office administrator, you will be the first point of contact for patients and medical reps providing exceptional customer service while efficiently managing administrative tasks. Your role will be critical in creating a positive and welcoming environment for our patients and visitors.
Responsibilities:
- Greet patients and visitors warmly, ensuring a friendly and professional atmosphere in the reception area.
- Answer phone calls, schedule appointments, and manage the appointment calendar to optimize patient flow
- Verify patient information and insurance details accurately during registration.
- Collect patient co-pays and process payments following established protocols.
- Update and maintain patient records, ensuring all information is current and accurate.
- Coordinate with medical staff to ensure smooth patient check-ins, referrals, and follow-ups.
- Assist in managing patient inquiries, resolving concerns, and directing them to the appropriate departments when necessary.
- Keep the reception area and waiting room tidy and organized.
- Handle incoming and outgoing mail, faxes, and other administrative duties as required.
- Adhere to all privacy and confidentiality regulations concerning patient information.
- Be familiar with medical prior authorizations
Requirements:
- High school diploma or equivalent. Additional education and or in medical administration is a plus.
- Proven experience as a Medical Receptionist or in a similar role.
- Strong communication and interpersonal skills.
- Punctuality is essential
- Exceptional customer service abilities, demonstrating empathy and patience.
- Proficiency in computer systems and electronic medical records (EMR) software.
- Ability to handle multiple tasks simultaneously and work efficiently in a fast-paced environment.
- Attention to detail and accuracy in maintaining records and patient information.
- Familiarity with medical terminology and basic knowledge of insurance verification.
- Professional appearance and demeanor. Ability to work as part of a team and collaborate effectively with medical staff and colleagues.
Preferred Qualifications:
- Previous experience in a healthcare setting ideal.
- Bilingual Spanish preferred
