We're accepting applications for a full-time Medical Office Assistant.
POSITION GOAL
The Medical Office Assistant greets patients, assists with signing in, contacts referrals, activates and enters data related to patients files, and moves patients/clients through a pre-determined schedule of appointments in a Medical Office on a flexible schedule.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Welcomes patients and visitors to the office by greeting them warmly in person and on the phone, answering or referring questions to other staff members.
- Contacts referred patients to gather information and begin the schedule process.
- Schedules appointments for the doctors and other clinicians to optimize patient satisfaction, provider time and most effective use of schedule. Prepares a daily schedule patients/clients for each clinician.
- Enters data into the electronic records management system.
- Updates patients insurance and demographic information in the computer.
- Retrieves files from the cabinet, checks for correct sequence of papers, reviews treatment plans, release forms, and treatment consent forms which may need updating and communicates to the appropriate personnel.
- Completes basic filing tasks.
- Assists ill or distraught patients as necessary. Participates in the medical emergency routine when required. Summons ambulance or EMS or assists other staff as needed.
- Telephones transportation providers or family members for transportation.
- Collects payments at the time of service.
- Relays billing questions to Billing Coordinator or Director.
- Maintains reception area in a neat and orderly condition.
- Available to work a flexible schedule to carry out assigned duties during evening client hours.
- Participate in staff meetings.
REQUIRED SKILLS
- Experience with MS Office and basic computer literacy is required.
- Demonstrates professionalism and self-awareness.
- Personality and demeanor to deal with the public and assist ill, older, or distraught patients.
- Knows when to hand difficult clients to the director or assistant director.
QUALIFICATIONS
- High School Diploma or GED
- One year of office experience required. Two-years is preferred.
