The Mid-Atlantic Permanente Medical Group (MAPMG) is one of the nation's premier multispecialty medical groups and is the largest integrated medical group in Maryland, Virginia and the District of Columbia. Job Summary:
MAPMG is seeking a Medical Education Program Coordinator to provide administrative coordination for the educational environment of medical students, residents, and fellows on rotation through the Medical Education Department at MAPMG. The Program Coordinator will report to the Director of Medical Education (DME), and will work with both the DME and the Associate Director of Graduate Medical Education (AD) to implement new Education Programs, coordinate existing programs, evaluate the programs, coordinate faculty and program development, and otherwise aid in developing and expanding MAPMG’s role as a regional Medical Education presence. In accomplishing these tasks, the Program Coordinator interfaces with the DME, AD, Site Directors, department leads, physician preceptors, external partners, and other stakeholders to ensure the success of the Medical Education Program, including being the primary point of contact for incoming students, residents, and fellows. The Program Coordinator will also serve as the backup point of contact for Department personnel as-needed. Qualified candidates must have excellent communication skills, be able to work both independently and as part of a team to complete assigned tasks, and be accountable for ensuring required deadlines and deliverables are met.
This position offers a hybrid work arrangement with the ability to go into the office on an as-needed basis. This position will be based in Rockville, MD. Candidates must be willing to relocate to the Washington D.C., Maryland, or Virginia area.
Responsibilities:
- Support the DME and AD in coordinating the development and execution of Medical Education initiatives for residents, students, and fellows
- Maintain program databases and be accountable for tracking program information, compliance documentation, evaluation data, and other records
- Coordinate Medical Education rotations, including onboarding, scheduling and structuring rotations, and collecting feedback and evaluation information
- Work with HR to ensure incoming students, residents and fellows are in compliance and to ensure the procurement of badges, accounts, devices, and other resources as-needed
- Work with KPHC team to orient learners to proper KPHC usage and ensure student/resident templates have necessary functionality
- Work with Site Directors, physician preceptors, internal departments, and affiliated institutions as necessary to schedule, structure, and maintain learner rotations in line with MAPMG needs and program curricula
- Coordinate the creation of day-to-day student schedules and time blocks as appropriate
- Work with the DME and AD to develop program materials including schedules, guides, handouts, orientation materials, and clinical education resources; and coordinate the assembly, communication, and distribution of such materials
- Work with the DME, AD, Site Directors, and other stakeholders to coordinate faculty development, including processing faculty appointments, creating and distributing faculty development materials and resources, and facilitating faculty development activities
- Coordinate program logistics including the scheduling and facilitation of program meetings, faculty sessions, student education activities, internet live trainings, and other activities
- Coordinate ongoing data collection, evaluation, and quality improvement of Medical Education program activities
- Work with the Longitudinal Integrated Clerkship (LIC) Physician Site Director to manage the LIC program, including applying many of the above responsibilities toward the development and success of the program
- Attend agreed upon conferences and meetings that relate to Medical Education to continue to foster learning and creativity of ideas
- Be the point of contact for physician preceptors and learners on rotation regarding questions and issues
- Serve as backup support for Learning Management System (LMS) administration in the Medical Education Department, to include processing training enrollments, user account creation, and webinar support
- Serve as backup point of contact for the DME regarding the Medical Education Department
Qualifications:
- Bachelor’s Degree in Education, Business, Communication, Health Care, or other related field is required
- Minimum of three (3) years relevant industry work experience in healthcare, training/education, credentialing, or compliance program management is preferred; Learning Management System (LMS) experience is a plus
- Proficiency with all MS Office Suite applications, particularly Word, Excel, PowerPoint, Outlook, OneNote, and other web-based applications
- Ability to manage/manipulate large amounts of data such as, pivot tables, macros, formulas is required
- Excellent customer service and oral and written communication skills; ability to communicate well with external partners
- Excellent organizational and time management skills; attention to detail and dependability a must
- Ability to work independently and as a member of a team
- Ability to travel to Kaiser Permanente sites in the Mid-Atlantic region on an infrequent, on an as-needed basis
