Responsibilities:
· Complete and timely data entry of client information
- Attach orders, opening paperwork, or other documents to client’s chart.
· File clinical documentation into client’s charts
· Collaborating with other administrative and health care staff on specific projects
· Work together with Nurse Facilitators on managing client reminders and follow-ups.
· Staff client openings with qualified personnel directly related to client needs.
· Manage scheduling websites and vendor portals.
· Maintain Caregiver schedules and upload monthly availability for staff.
· Ensure accurate and timely communication between office and field staff.
· Respond to time off requests, cancelled shifts, and call off’s by providing backup caregivers and communicating with clients as needed.
· Confirm weekly timesheets by confirming against scheduling program.
· Responsible for the initial contact for tracking of missing timesheets
· Input client and caregiver information into the scheduling software
o Document changes of condition
o Document schedule changes
o Document caregiver call off’s, shift refusals, etc.
o Perform quality calls and visits.
· Attending care conferences, staff meetings and other office duties as directed.
· Responsible for monitoring, tracking, and reduction of employ turnover and overtime
· Provides turnover and overtime statistical data for reporting and analysis.
· Manages relationships with internal and external candidates.
· Maintains accurate candidate records in Applicant Tracking System
· Ensure positive candidate experience throughout process from recruiter communication through final interview.
· Network and establish effective working relationships with recruitment sources. Represent organization at specified career fairs.
· Assists with other duties as assigned.
· Manage incoming web fax.
· Assist with answering phone.
· Greet visitors.
Experience:
- Previous experience working in a medical office or healthcare setting preferred
- Knowledge of medical terminology and procedures
- Proficiency in using office software and electronic medical record systems
- Familiarity with phone systems and handling multiple lines
This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate should have excellent communication skills, both written and verbal, as well as the ability to work well with a diverse patient population.
