Job Description
The Medical Administrative Assistant spends time performing administrative tasks in an office setting providing support to our provider team. The Medical Administrative Assistant will emphasize highly personalized care and help patients surpass barriers to healthcare by improving the patient/provider relationship.
Duties and Responsibilities include but are not limited to:
- Answering patient phone calls and helping by navigating them through their patient journey
- Preparing patient charts prior to patient arrival
- Knowledgeable of check in software and EMR
- Triage patient calls and physician messages
- Process and fulfill physician approved prescription requests
- Obtain authorizations for prescriptions
- Completing forms such as (but not limited to): TDI/FMLA and Work Notes
- Scheduling follow up appointments
- Update patient of authorization status and confirm receipt of specialty injection or imaging study being sent to facilities outside of ORI
- Send referrals to specialists and pain centers as ordered by the physician
- Remain accountable and follow through on all commitments made to patients
- Compliance with HIPAA and OSHA regulations
- Other duties may be assigned as necessary
Performance Requirements:
Knowledge:
- Excellent computer skills
- EMR Systems
- Practice Management System
- Microsoft Suite (including Outlook, Word, Excel, Calendar)
- Phone software
Skills:
- General understanding of processing legal forms
- Familiarity and follow through with all HIPAA compliance
- Attention to detail
- Self-motivated, showing initiative to tackle important issues, problems, and tasks

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Physical Demands:
- Requires mobility, frequent walking, standing, and sitting, some bending, stooping, and stretching and periodic lifting of up to 25 lbs.
- Requires coordination and manual dexterity sufficient to operate office equipment
- Requires normal (corrected) vision and hearing
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are typically Monday through Friday, 8:30 a.m. to 5 p.m., but may vary depend on Company Schedule.
Travel:
No overnight travel is expected for this position. There may be occasional local day travel to Company Divisions.
Required Education and Experience
- High School Diploma or equivalent
- Any combination of education, training, and experience that demonstrates the ability to perform the duties of the position.
