Position: Mechanical Service Coordinator
Purpose:
The primary role is to support the Services team with preparing service quotes, resource allocation, scheduling, obtaining and tracking customer purchase orders, and processing invoices for services.
Responsibilities:
- Consistently engage in communication with customers and service providers to facilitate customer requests.
- Coordinate the service schedule while optimizing the staff member best suited for the task.
- Create timely and accurate quotes for service engagements.
- Create work orders for all service work performed by Applied Control field service personnel.
- Track required training certifications for all Applied Control field service personnel.
- Send finalized quotes to customers.
- Maintain the Service Schedule and email it to required parties every week.
- Track customer purchase orders to verify received or outstanding status and communicate with customers to keep them informed of the balance status and project schedule.
- Track actual versus budgeted costs, monitor profitability, and keep the team informed of any projects that may be in question.
- Invoice projects & work orders in a timely manner.
- Support Application Engineers, Sales Specialists, and Account Managers with their service needs.
- Support the engineering service group by coordinating all non-technical administrative tasks related to the department including full, accurate, and timely reporting of information used for tracking department metrics.
Skills/Qualifications:
- Intermediate skill level in Microsoft Excel and other Microsoft Suite tools required
- Experience with IFS or similar ERP system strongly preferred
- Previous customer service experience required
- Effective prioritization and time management skills
- Self-motivated, requiring little supervision
- Discreet with confidential information
- Desire to help others and to work with them to find solutions
- Proven ability to work closely with others, particularly peers and sales staff
Working Conditions:
Includes working primarily in an office setting, with occasional assignments outside the office. This position may require evening and weekend hours on an infrequent basis.
Compensation:
Hourly wage range: Most Mechanical Service Coordinators will be hired with starting hourly pay between $28.00-34.00.
Candidates with 5+ years of experience in IFS, Mechanical Service coordination, and other similar experience could start at a higher rate up to $42/hour. Prior work or industry experience, as well as job-related education and unique skills, will be taken into consideration when setting the wage rate.
Other: Eligible for additional incentive compensation including overtime and an annual profit share award.
