Summary:
Provides general support to the branch Sales Director, marketing team, and agency partners. Gathers data supporting the branch agency marketing plan and agency performance data and reports summaries to Sales Director, Territory Managers and agencies. Coordinates annual agency sales meetings, producer orientation, annual producer conference, and other events for the marketing team. Coordinates the branch communication plan, both internal and external.
Essential Functions:
- Acts as branch main point of contact regarding agency contract and code changes.
- Notifies Corporate Licensing of contract level changes such as new contracts, mergers, and terminations by creating Jira tickets, and coordinates updates and communication for producer contact information, changes, and appointments.
- Provides support to the branch Marketing team, such as sending communications to agents related to branch changes, welcome letters, bulletins, and learning sessions as directed.
- Maintains branch agency files, collects agency profiles and enters information into the agency system.
- Enters goals and critical points into SMS during agency reviews, the Profit Share Protection Plan and Stop Loss Option into the agency system.
- Answers agent phone calls, assists with a variety of billing and system questions, and handles profile forms, and inputs into electronic agency file and legacy system.
- Assigns prospect agent codes for Marketing Representatives, and enters and updates responsible underwriting team member and leader for agent or account into the Sales Management System.
- Informs underwriting support associates of paperless agent updates and enters changes into the prospect and designated producer spreadsheets.
- Distributes EMC communication to agents and internal team members.
- Prepares agency bulletins and distributes to the agents, Underwriting and Marketing teams.
- Orders marketing supplies and flowers for branch, agents, and Marketing team as directed.
- Prepares and distributes new marketing materials to agents, compiles packets for events and TM utilization.
- Emails branch team members of new agency appointments and terminated agents.
- Assists management and team members with hotel and travel arrangements.
Education & Experience:
- High school diploma or equivalency
- Three years of administrative work experience
Knowledge, Skills & Abilities:
- Strong computer skills, including knowledge of Word and Excel
- Basic knowledge of the property and casualty industry preferred
- Excellent verbal and written communication skills
- Strong proofreading, spelling and grammar skills
- Ability to work on multiple tasks at once while meeting deadlines
- Strong human relations, customer service and organizational skills
