Position Summary
- Manage incoming and outgoing mail, to include sorting, distributing, and processing.
- Ensure accurate and timely delivery of the mail to appropriate recipients.
- Coordinate with courier services for efficient mail shipments.
- Maintain the mailroom equipment, supplies and troubleshoot any issues that may arise.
- Ensure invoices are submitted in a timely matter.
- Manage postage vendors to include Consolidated Mailing Services and FedEx, etc.
Print Operations:
- Manage all print requests from various departments.
- Manage print production schedules to meet regulatory deadlines and prioritize carrier contracts.
Team Management:
- Lead and supervise mailroom, intake and print operations associates.
- Provide training and guidance to team members to ensure competency and efficiency.
- Schedule associate assignments and manage workload distribution.
- Conduct performance evaluations and provide feedback to team members.
Process Improvement:
- Identify opportunities to streamline mailroom, intake and print operations processes.
- Implement best practices to improve efficiency and reduce costs.
- Evaluate new technologies, equipment and vendors to enhance quality and productivity.
- Develop and maintain standard operating procedures for the mailroom and print operations.
- Ensure client SLAs are met.
Compliance and Security:
- Ensure compliance with company policies and regulatory guidelines regarding mail handling, intake, scanning and printing.
- Maintain confidentiality of sensitive materials and secure mailroom and print operations.
- Adhere to health and safety regulations in the workplace.
- Sort and prepare member correspondence.
- Adhere to carrier guidelines for sorting and preparing member correspondence, ensuring that all documents are accurately organized and compliant with carrier requirements.
Administrative Duties:
- Reconcile invoices and submit for payment.
- Work with Get Next, CSR, SLP, TAS and DOCIT systems.
- Serve as a point of contact for clients, auditors and vendors.
Qualifications
- Education – High school diploma or equivalent; bachelor's degree in a related field is a plus.
- 5 years of experience in related field is preferred
- Minimum 3 years of experience as a supervisor or team lead
- 3+ years of experience reconciling invoices and submitting for payment
- Experience with Get Next, CSR, SLP, TAS and DOCIT systems
- Minimum of 3 years of experience in mail handling operations including compliance& security, print operations and process improvement
- Minimum 3 years of experience managing vendors
- Must be able to lift up to 50 lbs. for short periods
- Must be able to sit at computer for long periods in a cubicle office environment.
