DEPARTMENT: STORE OPERATIONS REPORTS TO: General Manager

SUPERVISES: Maintenance team, Facilities and Project Management

Pay Class: C Wage range: $22.29 - $40.73 per hour

JOB SUMMARY: To manage all aspects of the Davis Food Cooperative Facilities including department conditions, profitability, staff supervision, productivity, and workplace conditions. The Maintenance and Facilities Manager works to ensure Davis Food Coop facilities are safe, functional, and visually appealing. This is a full-time position. Employee must be available to match the business needs and will be required to work early mornings, late evenings, weekends, and holidays as necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Strategic Development

  • Participates in the leadership of the Co-op as a member of the Management Team.
  • Attends and contributes to weekly huddles, informing staff on facility improvements, on going projects, upcoming preventative maintenance, and safety.
  • Stay up to date on sales forecast, labor ratios, labor compliance, preventative maintenance schedules, vendor relations, building and maintenance budget and project deadlines.
  • Develop and lead team to ensure care and maintenance is accomplished for equipment and facility.

Store Operations and Customer Service

  • Create, update and follow established Maintenance Schedule.
  • Develops relationships with vendors for favorable prices, terms, and quality of work.
  • Maintain working knowledge of personnel reports, weekly sales numbers, quarter and year budget and expenses.
  • Work within budget to maintain Davis Food Cooperative grounds, facilities, and equipment in good working order.
  • Organize and oversee the maintenance of the physical store: floors, roof, interior and exterior walls, exterior lighting, electrical, plumbing, etc.
  • Organize and oversee the maintenance of all store equipment: refrigerated cases, freezers, appliances, shelving, display units interior lighting, etc.
  • Take on odd jobs and handle equipment emergencies as they arise.
  • Ensure that appropriate support personnel are immediately contacted if problems outside scope of expertise arise.
  • Organize and oversee the maintenance of the grounds: parking lot, loading dock, trash, and recycling areas, etc.
  • Delegate and perform routine store upkeep.
  • Take on odd jobs and handle equipment purchased and installation and/or work performed to help ensure institutional memory.
  • Orient and train new employees on safety.
  • Ensure the Co-op facility common areas are always kept clean and orderly.
  • Coordinate with janitorial staff and assume responsibility for overall store cleanliness.
  • Undertake special projects such as in-depth cleaning jobs, repairs, painting, light carpentry, etc.
  • Keep tools and repair parts organized and on hand in good condition.
  • Understand the basics of major outside contracts (HVAC, electrical, plumbing, etc.)
  • Assist in drafting capital budget requests and project proposal.
  • Partners with Department Managers to ensure daily, weekly and monthly cleaning routines. Execution of maintenance is executed by store operations team.
  • Exceed our customers expectations for service and provide a welcoming environment for all people and all diverse backgrounds and in accordance with the Co-op's customer service standards.
  • Model, provide and ensure customers receive prompt, friendly and courteous services and in a professional manner that markets our cooperative advantage.
  • Maintain a calm and friendly demeanor with all customers and all situations.
  • Upholds and monitors for compliance of best practices for food handling and safety.
  • Reports customer suggestions, comments or complaints to the appropriate department or positions as necessary.
  • Inspects equipment and tools to ensure proper working order and address as needed. Develops employees on how to clean and maintain store equipment.
  • Report any situations of concern to the Operation Manager or Human Resources.
  • Monitor and ensure that personnel keep work areas neat, clean and orderly.
  • Attends applicable onsite or offsite trainings.
  • Understand the co-operative principles and business model.
  • Respond to challenging situations in a positive and professional manner including proposing new ideas or better ways of doing things.
  • Demonstrate a willingness and ability to cooperate and communicate with coworkers, supervisors, subordinates and/or outside contacts in a timely and appropriate manner.
  • Complete goals and workplan tasks in a timely manner, meeting established deadlines.
  • Maintain vision of the big picture for your department and the organization as a whole, while simultaneously attending to details.

Supervision

  • Under the direction of the General Manager, ensures the store operates effectively and efficiently, facilitates day-to-day operations and guarantees performance standards are met and that employees consistently work towards their ideal and peak performance.
  • Supervises work performance and conduct of Maintenance personnel, ensuring compliance with established policies and procedures.
  • Models supportive and participatory leadership qualities, promotes team building and motivates staff to achieve goals.
  • Ensures department personnel receive appropriate orientation, training and feedback to perform their jobs.
  • Takes disciplinary action as needed in accordance with Co-op policies, labor and legal guidelines.
  • Establish clear expectations for direct reports and support to ensure expectations are exceeded.
  • Assists in delegating and assigning tasks for department personnel and ensure tasks are completed.
  • Model behaviors that support the values of the Co-op, through supportive and participatory leadership, promoting cooperation team building and motivating employees to achieve goals.
  • Monitor and help ensure that staff are properly attired, including apron/vest, and nametag, and are mentally and physically prepared for work duty upon arrival.
  • Help create and facilitate trainings for employees that enhance and build upon their skills, knowledge and abilities.
  • Contributes to regular performance evaluations and provides coaching as needed.
  • Coordinate and authorize breaks in accordance with Co-op policy.
  • Order and maintain adequate supplies for the department.
  • Supports Davis Food Co-op's marketing and outreach initiatives and contributes to marketing, outreach and events as requested.
  • Model communications with staff that are timely, clear, direct and respectful.
  • Model leadership behaviors to motivate staff and encourage teamwork.
  • Treat staff equitably, fairly, consistently and with respect.
  • Assist in ensuring that staff evaluations are completed properly and on time.

Maintenance, Safety and Security

  • Maintain external vendor performance and ensure it meets maintenance standards.
  • Ensures that all employees learn and use safe practices when performing job duties.
  • Ensures department and back-stock areas are maintained in clean, orderly condition, following all guidelines.
  • Maintain equipment in working order, research and recommend equipment repair and replacement options as needed.
  • Address safety/security concerns promptly.
  • Provides back-up to other staff as needed.

Other

  • Compiles or contributes to reports as requested.
  • Knows and meets all core responsibilities as outlined by the Co-op including customer service standards, communication, mission integration, personal effectiveness and technical skills.
  • Performs other duties as assigned.
