- Mail Handling and Distribution 65%
- Duties include, but are not limited to, receiving all incoming mail for the hospital and patients, sorting, and distributing mail hospital wide.
- Delivers incoming mail to individual units/areas/departments and picks up outgoing mail for delivery to US Post Office on campus and inter-office mail distribution.
- Sorts, weighs, packages up items for patients and hospital, properly stamps for delivery to US Post Office.
- Maintains list of current addresses and locates new addresses and forwards mail to former patients and employees.
- Administrative and Support Duties 25%
- Records all daily activity detailing volume of incoming and outgoing mail, postage used, and costs.
- Prepares monthly and yearly postage use totals and summaries.
- Maintains a list of current location of patients and staff on campus.
- Maintains log of all certified, registered or insured articles received and sent.
- Provides assistance, guidance, and mailing materials to patients and staff.
- Obtains money orders on request for patient needs with proper approval and funds.
- Other duties as Assigned 10%
Participates in, and provides for other staff, continuing education and training programs.
Assists with tasks and assignments provided by senior and executive leadership.
Participates in team activities as directed.
Provides input and feedback to Hospital Administrator / Chief Operations Officer as directed.
Performs other duties as directed.
Physical and Environmental Demands: Frequent lifting or moving heavy objects often weighing up to 50 pounds. Physical demands can be significant and requires walking between mail room, post office, and other MSH buildings multiple times a day in all types of weather conditions.
Knowledge, Skills and Abilities:
(Required for first day of work)
- Basic knowledge of US Postal Rules and Regulations.
- Knowledge in the operation of various mailing equipment in a hospital and office setting.
- Strong organizational, observation skills and attention to detail are required.
- Ability to operate personal computers and printers.
- Ability to operate basic mail room equipment including postage machine and postage scale.
- Ability to maintain confidentiality.
- Ability to communicate effectively orally and in writing.
- Ability to establish and maintain effective relationships with staff, management, professional medical staff, and patients.
- Ability to prioritize workload and work under stressful conditions and time constraints.
- Ability to work independently and act with initiative and good judgment.
Minimum qualifications (Education and Experience):
- High school diploma or equivalent.
- Pass MS Excel proficiency test with a minimum score of 65%.
- 1 year of mailroom operations or full-time clerical work experience preferred.
