Job Summary
The Legal Secretary is responsible for providing professional and administrative support to assigned attorneys across litigation, regulatory, and transactional practices. Assigned attorneys may include members of the firm’s Executive Committee and/or Management Board.
Job Responsibilities
· Formats legal documents and correspondence; oversees and coordinates filings, including e-filings; applies subject matter expertise in coordination of legal practice tasks and projects.
· Litigation responsibilities include preparing letters and creating shells, spreadsheets, and presentations, including complex formatting and preparing of documents for filing with appellate courts, district courts, and various state courts through attorney service and e-filing portals.
· Sorts and distributes mail in compliance with office policy and individual attorney preferences.
· Maintains calendar of meetings, appointments, business travel, and special events for assigned attorneys.
· Coordinates meetings, conferences, and special events including related travel arrangements. Gathers and prepares related materials for distribution in advance.
· Receives and screens telephone calls consistent with office policy and individual attorney preferences. Refers matters to other staff and resources as appropriate.
· Assembles and handles confidential and sensitive information.
· Resolves issues involving internal and external clients by phone or in person.
· Enters, edits, and reviews attorney time entries. Partners with assigned Billing Coordinator on substantive formatting and preparation of client bills.
· Gathers and researches information to facilitate the completion of forms, processes, and other administrative tasks, including processing invoices and reimbursements and opening new matters.
· Assists firm leadership, practice group leaders, and/or business managers with administrative or operational tasks as necessary.
· Maintains physical and electronic filing systems to ensure accurate and efficient retrieval of information.
· Possesses an understanding of firm policies and procedures. Directs questions to other staff and resources as appropriate.
· Assists attorneys or staff with team support as needed.
· Performs other duties based upon the unique practice of assigned attorneys.
Qualifications
Knowledge, Skills and Abilities
· Demonstrated ability to consistently provide a high level of quality client service to both internal and external clients.
· Demonstrated ability to follow directions and work effectively both independently and with others in a cooperative, enthusiastic, and friendly manner to accomplish position functions and participate in team efforts.
· Demonstrated proficiency in the use of MS Office (Outlook, Word, Excel, and PowerPoint) to produce high-quality, written communications such as memos, spreadsheets, presentations, and standard legal documents.
· Demonstrated proficiency in the use of Adobe, Forms Workflow, Workshare Compare, and Best Authority or equivalent software programs preferred.
Education:
The position requires a High School Diploma or GED. AA/BA/BS degree or equivalent specialized training is a plus.
Experience:
The position requires a minimum of ten (10) years of experience supporting litigation partners and other litigation attorneys.

Salary: $88,000.00 - $100,000.00 per year
