We are looking for two legal assistants/calendar clerks for a small boutique law firm.
Objectives of this role
- Support attorneys in optimizing their work and time
- Provide support to track deadlines to ensure legal documents are filed in a timely manner
- Represent the organization with professionalism and integrity when dealing with clients and court officials
- Maintain strict confidentiality of organizational and client information
- Transfer data from paper formats into computer files or database systems using keyboards, data recorders or optical scanners
- Create spreadsheets and enter data without mistakes
- Verify data by comparing it to source documents
- Update existing data
- Retrieve data from the database or electronic files as requested
- Sort and organize paperwork after entering data to ensure it is not lost
Responsibilities
- Manage diary and schedule meetings and appointments
- Take dictation and minutes
- Produce reports
- Devise and maintain office filing system
- Proofread/file/draft legal documents
- Communicate with clients
Skills
- MS Office and English proficiency
- Organizing meetings, including scheduling, sending reminders, and organizing events when necessary
- Verbal and written communication skills
- Problem-solving and decision making
- Proactivity and self-direction
- Interpersonal skills
- Fast typing skills; Knowledge of touch typing system is strongly preferred
- Working knowledge of office equipment and computer hardware and peripheral devices
- Great attention to detail
- High school degree or equivalent
