Job Purpose
The Legal Assistant is responsible for preparing foreclosure deeds required for the Post Sale process. This position has a fast paced schedule with a high volume. This person will be required to be organized and proficient with using Word. This person will work effectively with a variety of Firm members, clients and outside parties such as local Sheriff’s offices and each county’s Recorder of Deeds office.
Duties and Responsibilities
Document Preparation and Recordation:
- Prepare Trustees Deeds Under Sale, Sheriff’s Deeds, Special Warranty Deeds, Quit Claim Deeds, Acceptance of Conveyance and any additional documents as needed.
- Edit and revise documents as instructed by Attorney and Client.
- Follow-up with Client and outside parties for executed documents.
- Submit documents for recording.
File Maintenance:
- Record all forms of communication from and to the Client by updating the Firm’s internal case-management system, CaseMax.
- Image and label documents to the Firm’s image center.
- Monitor client website messages and tasks.
Administrative Support:
- Communicates effectively with department co-workers, Administrator, Attorney, and Clients.
- Serve as backup to fellow Deeds Preparer.
- Learn additional duties as needed.
Qualifications / Required Skills
- High School Diploma or equivalent
- A minimum of 6 months office experience or a college degree
- Intermediate knowledge and familiarity with Microsoft Office Programs
- Ability to type a minimum of 35 WPM
- Strong data entry skills
Working Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Requirements
The ability to work in an office environment, seated for long periods of time, in front of a computer, while typing documents, responding to emails, managing calendars and answering phones.
