Position Title: Leasing Coordinator
BKM Management Company is a growing firm and we are looking for driven, entrepreneurial professionals that want to grow with us and are passionate about their work. Located in Denver, Colorado, the Leasing Coordinator works under the direction of the Leasing Manager to provide administrative support for new and renewal leases and assists the local Denver Senior Property Manager with various property management and local office administrative duties.
This position participates in marketing campaigns for attracting and retaining tenants to minimize vacancies and improve the tenant mix and asset occupancy, updates internal space tracking software, helps draft and process new and renewal lease forms and packages, helps complete any leasing related investor reporting, and provides general support to the local portfolio properties to preserve customer satisfaction. The position is required to work in-office 5 days a week.
The Job Essentials:
Marketing
- Assist with executing the marketing and leasing strategy for the BKM Colorado portfolio of multi-tenant industrial properties.
- Maintains company and property visibility with the brokerage and prospect community through industry events and marketing programs to maximize property exposure to the marketplace.
- Updates marketing materials, including but not limited to, brochures, leasing signage, flyers, site plans, and floor plans. This includes all materials and updates into BKM’s suite of software (e.g. Property Capsule, VTS, & BKM Intel).
- Coordinates with other employees to assist with broker and tenant relations events.
Leasing
- Under the direction of the Leasing Manager, assists in the administration of BKM’s new deal and lease renewal process. This includes gathering initial tenant qualification materials (running credit checks, obtaining financial statements etc.), tracking proposals and negotiations in VTS, lease/amendment drafting, document execution and ensuring the lease documents are internally processed and transitioned upon execution.
- Maintain all leasing templates and working files in an organized manner.
- Maintain all listing agreements with brokers to ensure active agreements in good standing.
- Confirm and track receipt of all commission invoices.
- Regularly visits vacant spaces to ensure “show ready” condition.
- Establishes and maintains positive tenant relationships to promote occupancy and accelerate lease renewals and portfolio retention rate.
- Maintain VTS records for deals worked on and ensure accuracy of all leasing updates.
- Complete the pertinent leasing information for any investor reporting.
Property Management Administrative Duties
- Assist the Property Manager with administrative tasks including, but not limited to:
- Follow up on delinquent accounts
- Accounts receivable and collections reporting
- Track Tenant work orders and ensure they are completed timely
- Tenant billbacks processed within accounting system
- Set up job codes and input capital contracts for unit rollovers and other property management driven capital projects in Yardi
- Vendor contracts and cancellations
- New vendor set ups
- Contracts in DocuSign for new contracts
- Maintaining tenant information database
- Maintaining “Critical Dates” report which lists all tenant anniversaries, lease expirations, options, rent increase dates, etc.
- Code and submit invoices through AVID/Yardi accounts payable system
- Assist with preparation of annual operating budgets and reports for each property
- Assist with preparation of annual operating expense reconciliations
The Qualifiers:
- RE License preferred
- 3-5 years of work experience in a leasing / property management role within commercial real estate
- Excellent written and oral communication skills
- Ability to speak and write diplomatically
- Strong organizational and administrative skills with a keen attention to detail
- Strong computer skills including Microsoft Office system
- Motivated and results-driven with strong work ethic
- Exercise discretion and independent judgement
- Yardi/AVID experience a plus
