Key Responsibilities:
Incoming Communications:
- Greet walk-in visitors warmly, inquire about their purpose, and assist accordingly.
- Answer all incoming phone calls, addressing inquiries or directing calls to the appropriate department.
- Communicate with providers and patients in a friendly and professional manner, addressing queries or transferring calls as needed.
- Manage incoming emails, prioritize them, and respond or forward to the relevant department.
- Act as the primary point of contact for the Client Relations department, handling inquiries or forwarding them to the appropriate personnel.
Front Lobby Area Maintenance:
- Ensure the front lobby area is clean, organized, and welcoming.
- Receive and distribute food/snack deliveries efficiently.
Administration and Laboratory Workflow Assistance:
- Organize sample acceptance paperwork on a daily/weekly basis.
- Coordinate the NGS send-out workflow, including sample tracking, preparation of manifests, and report uploading.
- Assist the Client Relations department in communicating rejection reasons to clients by providing specimen photos.
- Support report generation and release processes.
- Provide backup support for accessioning when required.
- Monitor sample statuses, escalate issues as needed, and communicate expected sample arrival times to the Client Relations team.
- Conduct daily checks on the release queue for molecular samples and notify the appropriate teams of any delays or issues.
Key Performance Indicators:
- Client relations review ratings.
- Responsiveness to emails (responding within 10 minutes).
- Quality of communication, including politeness and helpfulness.
- Understanding of laboratory workflow.
- Organization of the front area and paperwork.
Requirements:
- High school diploma or equivalent; additional qualifications in administration or related field preferred.
- Previous experience in a receptionist or administrative role preferred.
- Strong communication skills, both verbal and written.
- Excellent organizational skills with keen attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Proficiency in MS Office applications (Word, Excel, Outlook).
- Familiarity with laboratory processes or terminology is a plus.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
Expected hours: No less than 40 per week
