Job Overview:

The incumbent is responsible for providing a high level of administrative support to the Controller in PIM Brands Corporate Headquarters (i.e. maintain confidential files, monitor tax deadlines, manage department calendar etc).

Duties and Responsibilities:

• Assist with requests for information from various departments (such as company duns number, Fed ID, legal names, incorporation information etc).
• Assist with maintaining/updating information necessary for insurance coverage.
• Assist with preparing information for insurance audits (i.e. workmens compensation audit, general liability audit).
• Assist with the monitoring of 401k compliance calendar.
• Assist in preparing ad hoc financial analysis.
• Assist in trouble shooting M3 system issues.
• Manage continuing contracts, including tracking, payment processing, and reconciliation of invoices.
• Assist the Controller in workflow and system functionality documentation.
• Additional duties as assigned in Accounting Department.

Requirements and Qualifications:

• Bachelor of Science in Accounting; Minimum of 3-5 years experience serving as the administrative assistant in an accounting/finance department
• Must have good understanding of accounting and experience in working with general ledger, journal entries, credits and debits and P&L
• Familiarity with tax returns and Financial Statements; Hands on experience with accounting software
• Must have strong computers skills: including MS Word and Outlook and strong MS Excel;
• Ability to prioritize and manage various projects and able to work under pressure;
• Able to take direction, strong attention to detail, and accuracy
• Excellent communication skill, time management and organizational skills
