About the Role

You will be supporting our Director of Finance in the daily administration of our businesses in a fast paced, complex financial environment where you will work across multiple business units and systems. The role involves bookkeeping, administration, general HR and finance work.

You are a Junior Accountant, but more than that, you are front-line support for our sales, marketing, and operations people who look to you for guidance and support so they can focus on driving revenue, containing costs, and growing our business.

This work is often fast and furious, with clients and seasonal sales driving high volumes of accounting transactions. In addition to general maintenance of accounts and daily operations, as a rapidly growing business with limited resources, we also rely on this role to help improve our efficiency by streamlining processes and experimenting with new software to drive automation (the fun stuff!).

Responsibilities include:

  • Accounting Responsibilities:
  • Develop understanding of current business flows, processes, systems
  • Maintaining, processing and reconciling accounts payable/receivable activities daily.
  • Posting bank and credit card activity on a daily basis.
  • Review, investigate and correct errors and inconsistencies in financial entries, documents, and reports.
  • Maintain process controls per GAAP and current audit policies.
  • Responsible for preparing and maintaining the General Ledger; conducting journal entries, G/L account reconciliations and related work papers.
  • Compile and analyze financial information to prepare entries to accounts, such as general ledger accounts, documenting business transactions.
  • Sales Tax Filings
  • Assist with audit procedures as assigned.
  • Maintain document filing system
  • Partner with internal teams to support various requests.
  • Other tasks and projects as assigned by the CEO and Director of Finance.
  • Administrative Responsibilities
  • Supplier Administration. Supplier onboarding and document collection, supplier communications, generating purchase orders, and managing supplier payments against purchase orders. Maintenance of supplier lists and records.
  • Customer Administration. Creating new customer accounts in QBO. Maintenance of obtained Tax Exempt documents and management of Tax Exempt Lists. Customer communications related to invoicing, generating estimates & invoices, and receivables management. Maintenance of customer lists and records.
  • Company Account Maintenance. Manage company supplier and online accounts. Research and open new accounts, close unused accounts.
  • General Finance Administration. Maintain a highly organized & efficient digital filing system, generate non-automated purchase orders, and general support duties.

About You:

You have deep knowledge of Quickbooks Online where a large majority of our work takes place. This is not optional for consideration. Quickbooks desktop experience will not be considered adequate.

  • A minimum of 3 years of QBO expertise is REQUIRED. You must also possess an EXCEPTIONAL skill level using the Projects and Class functions of QBO; this is the foundation for our management of multiple businesses.
  • You are highly tech savvy and understand that finance and tech are forever intertwined. Invoices are online, no one uses mail, and all transactions are electronic. You embrace this and are acutely familiar with how to work with it.
  • As a rule, you are exceptionally organized, and are comfortable working with little direction, can manage a task list and keep your supervisor updated, and can assess when it’s time to ask for help before something breaks.
  • You have a Bachelor’s degree in accounting, finance, or a related field with 3+ Years Bookkeeping/ General Accounting experience, or 5+ years experience in lieu of a degree.
  • You are aggressive in the use of online tools & platforms and accept the challenge of learning to use those that are new to you. Being a remote based company, we are a fully web based company so adapting is paramount.
  • You are excited to take on new tasks as you feel ready
  • You have the desire to expand your knowledge of spreadsheet formulas & the use of pivot tables
  • You have extensive knowledge of the treatment of Accruals & Prepaids.
  • You are highly organized with emails, document uploading & filing.
  • You are an aggressive problem solver
  • You can suggest solutions to implement better process flow & organization to create better efficiencies where necessary
  • You are available during 9am - 5pm EST to support staff inquiries as we are East Coast based.
