As the Inventory and Equipment Manager at Contemporary Pool Works, your primary responsibility is to provide exceptional customer service while ensuring efficient management of Inventory and Equipment. You will oversee all aspects of inventory control, parts ordering, equipment maintenance, and customer support to enhance sales, profitability, and employee satisfaction. Your role is integral to the smooth operation of our business and the satisfaction of our customers.

- Customer Service:
- Handle phone calls, emails, and voicemails from customers in a professional and informative manner.
- Record customer inquiries and orders accurately in the system.
- Parts Ordering:
- Place daily parts orders for maintenance, service, and construction projects.
- Utilize the purchase order (PO) system in SA (Service Autopilot) to manage parts orders and job statuses.
- Parts Sales:
- Manage bulk chemical sales programs and process customer orders.
- Prepare jobs for delivery and invoice customers accordingly.
- Warranty Filing/Accounts Receivable (AR):
- File manufacturer warranties for products.
- Enter invoices with parts and labor into the AR tracking system.
- Organize Yard:
- Maintain a well-organized truck and Equipment yard.
- Delegate tasks for truck maintenance, fuel ordering, and parts check-in.
- Truck Maintenance and Repairs:
- Oversee routine maintenance and repairs for company trucks.
- Arrange for repairs when necessary and ensure vehicles are well-maintained to minimize costs.
- Equipment Maintenance and Repairs:
- Manage maintenance schedules for all equipment, including trucks, skid steers, and excavators.
- Perform repairs and coordinate servicing as needed to keep equipment in optimal condition.
- Inventory Management:
- Manage inventory of service parts in the warehouse and set up an inventory system for efficient tracking.
- Ensure accurate counts and order points for all stocked parts.
- Utilize warehouse management software to track inventory levels and movement.
- Implement barcode scanning and labeling systems for efficient inventory management.
- Receive, inspect, and store incoming materials, ensuring accurate documentation.
- Monitor stock levels and reorder materials as needed for upcoming projects.
- Coordinate the delivery of materials to job sites in a timely manner.
- Team Support:
- Provide support to other teams with parts delivery, service calls, maintenance tasks, and inventory management.
- Fleet Management:
- Maintain and manage the company's fleet of vehicles and Equipment, including excavators, skid steers, and trailers.
- Schedule regular maintenance and repairs for vehicles and Equipment to ensure safe and efficient operation.
- Monitor fuel consumption and mileage, tracking expenses and identifying cost-saving opportunities.
- Coordinate vehicle inspections and registrations to ensure compliance with regulations.
- Vendor Management:
- Establish and maintain relationships with vendors and suppliers to ensure timely delivery of materials.
- Negotiate pricing and terms with vendors to optimize cost-effectiveness.
- Evaluate vendor performance and quality of products to inform purchasing decisions.
- Repair Shop Management:
- Oversee the operation of the repair shop, ensuring equipment is properly maintained and repaired.
- Manage repair schedules and prioritize maintenance tasks based on project timelines.
- Coordinate with repair technicians to diagnose and address equipment issues promptly.
- 2-3 years of experience in warehouse management, preferably in a construction or similar industry.
- Proven experience in fleet management, including maintenance scheduling and cost control.
- Strong management skills, with the ability to lead and motivate a team of warehouse and repair shop staff.
- Knowledge of inventory management principles and best practices.
- Proficiency in computer software and systems, including warehouse management software and Microsoft Office.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with vendors, suppliers, and internal teams.
- Background in customer service and inventory management preferred.
- Experience with parts ordering, inventory control, and Equipment maintenance.
- Strong organizational skills and attention to detail.
- Proficiency in using inventory management software and systems.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Excellent communication and teamwork skills.
- Valid driver's license and reliable transportation.
- Familiarity with basic computer applications and tools.
