We are a high-end furniture showroom that offers a comprehensive range of services. We are currently seeking a Procurement Manager who is driven, organized, and has the aptitude, ability, and vision to create an effective and successful procurement department from the ground up.

The Procurement Manager has a deep understanding of supply chain management principles. They are accountable for the effective management of procurement activities leading to delivering products to clients on time and on budget, utilizing specific technical expertise and recognized practices. This role is to provide procurement services for the planning, procurement, and payment processing activities associated with the purchase of furniture, fixtures, and equipment (FF&E). Specific duties include cost estimating, cost management/value engineering, development of procurement RFPs, evaluation of proposals, bidding and cost with vendors, and management of multiple project budgets and schedules. This role must adhere to product design/technical standards, product brand standards, company policy, and established SOPs.

The Procurement Manager works under limited supervision and can create guidelines to monitor the flow of work between their own department and others in alignment with business strategies, select and develop effective coordinators and work teams, managing own organization through reliable systems and processes, and producing and analyzing more complex business information to assist in the decision-making process.

Expected Contributions

  • Source and procure materials, furnishings, and accessories related to the procurement of FF&E and other goods and services in support of project activity, while ensuring cost-effectiveness and adherence to project timelines.
  • Collaborate with the team to prepare and deliver proposals and presentations for Procurement clients.
  • Plan, direct, and manage all Procurement Projects from beginning to end, and maintain communication as the Procurement client’s primary POC.
  • Research potential suppliers and vendors, evaluate their products and services, and negotiate contracts and pricing terms to secure favorable deals.
  • Collaborate with designers and project managers to understand Design project requirements and develop procurement strategies that meet quality and budgetary requirements.
  • Manage supplier relationships and maintain a vendor database, including evaluating performance, resolving issues, and fostering long-term partnerships.
  • Monitor inventory levels and track materials and products to ensure adequate supply for ongoing projects while minimizing excess inventory and carrying costs.
  • Coordinate with logistics and shipping providers to arrange timely delivery of materials to project sites and resolve any shipping or delivery issues that may arise.
  • Manage receiving warehouse by keeping the Warehouse Manager and staff informed of incoming orders and providing the necessary documentation for arriving shipments.
  • Conduct regular market research and stay informed about industry trends, new products, and emerging suppliers to identify opportunities for cost savings and process improvements.
  • Prepare and analyze procurement reports and metrics to track spending, identify cost-saving opportunities, and improve procurement efficiency.
  • Consult with the Lead Interior Designer to clarify procurement requirements.
  • Actively coordinate with the Interior Design team and 3rd party Interior Design firms for product specifications and approvals
  • Responsible for creating budgets and cash flows for planning purposes.
  • Provide oversight of contractors engaged in services, ensuring compliance with insurance and other applicable requirements.
  • Interact with property General Managers, Warehouse Management, Delivery teams, Showroom staff, and others to ensure a high level of support related to procurement services, product delivery, and warranty management.
  • Ensures purchase orders are prepared per established standards before issuance to vendors.
  • Obtain competitive pricing, ensuring compliance with policies/procedures governing bid requirements. Recommend alternate selections where appropriate.
  • Ensure vendor payments are timely and in accordance with applicable policies/procedures.
  • Obtain delivery documentation and implement other controls to ensure delivery of product and minimize risk.
  • Partner with Accounting and 3rd Parties to track and resolve issues associated with payments.
  • Serve as the subject matter expert in the Procurement system, as well as various other applications.
  • Ensure projects are properly closed out, and turnover documentation provided to appropriate stakeholders.
  • Create and update SOPs utilized in the execution of business processes.
  • Direct the support activities of the Procurement Coordinator.
  • Contributes to team, department and/or business results by performing more complex quantitative and qualitative analysis for business processes and/or projects.
  • Responds to, solves and makes decisions on more complex/non-routine business requests with limited to moderate risk.

Works to enhance the organization’s capabilities through effective management of current Procurement department staff by:

  • Aiding HR with interviewing to hire the best coordinators available from inside or outside.
  • Setting and maintaining high standards for team and individual performance.
  • Providing timely coaching and feedback.
  • Making and rewarding distinctions in performance.

Assists the Leadership Team in achieving business results by:

  • Identifying opportunities to enhance the effectiveness of business processes.
  • Providing training and technical guidance to less senior staff, where appropriate, and serving as point-of-contact for problem resolution.
  • Participating in setting department operating plans.

  • Achieving results against budget within scope of responsibility.
  • Demonstrates an awareness of personal strengths and areas for improvement and acts independently to improve and increase skills and knowledge.
  • Performs other duties to aid the day-to-day operations as appropriate.

Requirements

  • College degree or equivalent experience.
  • Minimum 5 years of Procurement experience.
  • Reliable car and valid driver's license.
  • Able to travel for installation if needed and is available to work additional hours occasionally required to meet deadlines.
  • Previous experience working in a team and interacting with external customers.
  • Experience resolving issues and prioritizing competing requests for support.
  • Experience managing projects within established timeframes and budgets.

Strongly Preferred

  • Experience with high-end Interior Design projects, FF&E procurement
  • Supervisory experience
  • Spanish Proficiency
  • Knowledgeable in Microsoft 365 Dynamics

Skills/Attributes

  • Highly skilled in Microsoft Office (Outlook, Word, SharePoint, etc.), with emphasis on Excel, creating and proofreading spreadsheets with complex formulas.
  • Technologically inclined, ability to learn software systems and train procurement staff as needed.
  • Deep understanding of supply chain management principles.
  • Detail-oriented self-starter with the ability to direct/manage multiple projects in a dynamic, changing environment.
  • Strong collaborative skills and proven ability to act with a professional demeanor with all levels of management, both internally and externally.
  • Strong time-management and prioritization skills.
  • Possess excellent verbal and written communication skills.
  • Maintain confidentiality and display discretion.
  • Proactive, detailed, motivated, and disciplined.
  • Ability to work cross-functionally.

Information

  • Compensation: $65k-75k/year, DOE
  • Working hours M-F, 9 am – 5 pm, occasionally work flexible hours when needed to meet deadlines, including evenings and weekends.

Work Environment

This job operates in a professional office/showroom/warehouse environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Physical Demands

This is largely a sedentary role; however, filing and organizing will be required. This would require the ability to move items, samples, files, open filing cabinets, access shelving to organize samples, move items, and bend or stand as necessary.
