Our services include design, procurement, development, and project management with a focus on excellence in both aesthetic and operational aspects. We also provide residential, real estate and hotel design consulting.
Position Overview:
We are currently seeking a detail-oriented and proactive Administrative Assistant to provide essential support to our design consultant, Gary Matt. This is a part-time position located in Chicago, IL with a possible hybrid work arrangement. This position could lead to a full time position, as our growth continues.
Responsibilities:
- Provide comprehensive administrative support to Gary Matt, including, data entry, record keeping, file management, proofreading, editing, and research.
- Assist in drafting proposals, agreements, and other various communications to support design projects.
- Aid in the completion of invoices to ensure accuracy and timely submission.
- Assist in marketing efforts by maintaining business pages on platforms such as Google, Bark, THumbtack, LinkedIn, etc.
- Collaborate in the development of a company website, contributing to its design and content.
- Develop visually appealing presentations for design meetings to effectively communicate project concepts.
- Handle various ad-hoc tasks and projects as assigned.
- Collaborate with the owner and team members on design projects
- Stay organized by completing day-to-day projects in a timely manner
Requirements:
- Proven experience as an Administrative Assistant or in a similar role.
- Strong interest in Interior Design, particularly within the hospitality industry.
- Proficiency in MS Office (Word, Excel, PowerPoint), Google Suites (Docs, Sheets), and familiarity with design-related software (AutoCAD, SketchUp).
- Familiarity with QuickBooks is preferred.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated personal responsibility, accountability, and openness to communication and collaboration.
- Outstanding oral and written communication skills.
