Southeast Psych is a small business in Charlotte, NC. We are innovative, fun and our goal is to transform lives by providing exceptional mental health services. We are a private group practice with offices in two states, and we are currently expanding our Charlotte, NC team.
- As a member of a collaborative administrative team, work together to ensure all goals are achieved on time and with excellence.
- Answer and promptly respond to phone calls, voicemail, and emails in a calm and professional manner
- Interview potential clients and develop their intake profiles
- Determine clinical match and secure needed approval or referral information
- Educate clients about scheduling preferences, fees, and insurance
- Schedule initial appointments and enter client information into the electronic records system
- Assign needed paperwork and ensure necessary documents are uploaded into the system
- Help clients set up and troubleshoot their electronic portals
- Take payment for testing appointments
- Maintain an awareness of clinician areas of expertise and the focus of their practices
- Maintain the database of clinical, referral and testing information used throughout the intake process
- Assist in setting up client files and help process records release requests
- Help existing clients with check-in/check-out and scheduling, as needed
- Gather and report statistics used for marketing purposes
- Complete other tasks as needed (copy, fax, email, etc.)
The ideal candidate for the New Client Specialist/Intake Coordinator position is friendly, empathetic, and able to quickly put people at ease. They serve as the first point of contact for our practice, helping potential clients understand our services and gathering information about client concerns and goals. They assess client needs, match them with a therapist, and support clients through the registration and scheduling process. Confidentiality, attention to detail, and the ability to manage competing priorities are essential skills needed to succeed in this role.
Requirements:The Intake Coordinator will have:
- Customer service: 1 year (Preferred)
- Crisis intervention: 1 year (Preferred)
- Behavioral health: 1 year (Preferred)
- High School Diploma or equivalent experience
- Strong interpersonal, customer service and communication skills
- Ability to multitask and adapt to changing needs and priorities
- Proficient in the use of technology and scheduling software
- Familiarity with psychological terms preferred
- In office Monday-Friday
- Ability to commute, 5 days a week, to Charlotte, NC.
- Full-time $16-18/hour
