Job Description
American Southern Insurance is seeking a full time Claims Processor. Hours are 8:30am to 5pm Monday through Thursday and 8:30am to 4:00pm on Friday. This is a non-exempt position with overtime after 37.5 hours (number of hours per week).
Summary: This is a staff position responsible for initial processing of claims and the entry of losses, expenses and reserves into the claims processing system (IBM-i).
Essential Duties and Responsibilities:
- Perform daily task of processing transactions requested by adjusters into IBM-i system: check requests, reserve changes, and new claim set ups. Check requests received after the prior day’s noon cutoff and before the current day’s noon cutoff are to be processed; reserve changes and new claim set ups can be completed throughout the entire day.
- Forward all completed check requests/punch slips to the Claims Administrator (typically by 1:00pm) for afternoon check processing.
- Enter all subrogation, salvage, deductible, and/or reimbursement checks received from adjusters.
- Verify any and all inconsistencies found on punch slips and/or incoming loss reports from adjusters, and collaborate with these adjusters, as needed, to determine and process appropriate corrections.
- Print all claims checks processed by both ATL and SC offices from the prior day
- Verify all claims checks (loss and expense) are accurate (spellings, addresses, amounts, etc) before being stuffed in envelopes for outbound mail processing. All checks that contain amounts of $25,000 or greater must be signed by an approved employee, and that check must be copied before it is sent via FedEx.
- Upload checks to Company’s Bank each morning.
- Receive and review any Positive Pay exceptions from the Bank each day.
- Process FedEx requests from adjusters as they arrive throughout the day.
- Prepare affidavit letters and address labels to the appropriate requester.
- Complete required weekly/monthly/quarterly catastrophic state filings.
- Order police reports from Lexis Nexis as part of the claim file set-up process, as requested by adjusters, and verify monthly Lexis Nexis invoices for accuracy.
- Verify and process Lexis Nexis monthly invoice with requested report cover sheet.
- Open/Set-up new DeKalb County claims and track adjuster assigned.
- Complete both internal and external audit requests, as required (typically performed quarterly), including, but not limited to, providing backup information for processed payments.
- Run an edit report of the entire day’s reserve transactions by 4:00pm, balancing with both the Claims Administrator and member of Underwriting Department.
- Input day end balances into IBM-i to close the day’s file once the aforementioned transactions have been verified and balanced.
- Maintain log of police reports ordered.
- Maintain a daily log of Paid Losses and Expenses.
- In all processes, check for duplicate payments.
- Perform other tasks as assigned by supervisor.
Non-essential Duties and Responsibilities:
· Handle inbound phone calls as part of the Claims Department’s phone rotation.
· Serve as a backup, as needed, to Claims Associate
Knowledge, Skills and Abilities:
- The ability to perform each of the essential duties satisfactorily.
- Good math logic skills.
- Proficient Data Entry skills (8,000 kph and 98% accuracy).
- Exceptional eye for details.
- Ability to maintain good organization.
- Ability to exhibit excellent customer service skills while taking inbound telephone calls and while dealing with office interactions.
- Ability to work independently and as part of a team.
- Ability to maintain a flexible and approachable attitude.
- Ability to use and operate a computer, calculator, fax machine, copier and telephone.
Education and/or Experience:
- High school diploma.
Physical Demands and Work Environment:
- Normal office environment.
