Job description

Functions Coordinate administrative duties. An office administrator serves a team of people, he or she ensures that everyone knows how to claim expenses, get supplies and follow other office systems and protocols. Other duties include ordering stationery and making sure that maintenance is carried out on office equipment.

They keep track of invoices, purchase orders, and receipts and maintain the condition of the office. Frequently, the office administrator also acts as the personal assistant to the head of the department. Ensuring the office is stocked with necessary supplies and all equipment is working and properly maintained.

Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions. Regular attendance at work and the ability to work flexible hours, including overtime, weekends, and holidays. Perform other duties as instructed.

Developing, reviewing, and improving administrative systems, policies, and procedures. Collecting, organizing, and storing information using computers and filing systems. Overseeing special projects and tracking progress towards company goals.

Supervising day-to-day operations of the administrative department and staff members. Hiring, training, and evaluating employees, taking corrective action when necessary. Working with the accounting and management team to set budgets, monitor spending, and process payroll and other expenses.

Provide administrative and analytical support to the VP of Operations. Deliver critical data support to department leads. Create detailed schedules and tracking matrices as directed.

Interface with other ESG departments as required to ensure completion of all assigned duties. Provide metrics and tracking support on design contract deliverable submissions. Provide detailed plans of action and deficiency reports for contract deliverable reviews to support the project objectives and schedules.

Research and analysis functions may include program tracking and forecasting, project evaluation and monitoring, and performing any data analysis relevant to project tasks. Building new and expanding existing skills by engaging in educational opportunities. Supervisory Responsibilities This position has no supervisory responsibilities.

May have team leadership responsibilities over employees. Will have mentorship responsibilities over junior employees.Qualifications Education/Experience: HS diploma or GED equivalent and 3+ years providing administrative support at a high level are required. Experience in the USCG/DoD/US Navy or other government environments, particularly in providing administrative support to management preferred.

Familiarity with budget planning and enforcement, human resources, and customer service procedures. Strong problem-solving, critical thinking, coaching, interpersonal, and verbal and written communication skills. Experience in related fields, such as management or financial reporting, preferred.

Exceptional leadership and time, task, and resource management skills. Proficiency with computers, especially MS Office. Ability to plan for and keep track of multiple projects and deadlines.

Required Requires strong working knowledge of standard office administrative practices and procedures. Intermediate-level Microsoft Suite experience including Word, Excel, and PowerPoint and a working knowledge of various web-based design and collaboration tools. Ability to read and interpret documents such as Company policies/procedures and governmental regulations.

Ability to rapidly obtain, sort, filter, and analyze large volumes of data for distillation into high-level reports. Requires excellent written oral and presentation/communication skills and the ability to communicate effectively. Ability to work both independently and as part of the project team with the ability to exercise diplomacy and tact.
